18,000 a yearKey responsibilitiesAs a new recruit and as this is a trainee position, it is important to the business and the candidate that the first six months affords the time to learn, adapt and absorb working life and specifically the Hickory way of working and servicing of clients. Thus during this learning phase, the key responsibilities will be to;
  • Learn in detail the brands which we work with (Eskmills, Dunglass, Hickory Bars, Hickory Food) all of these brands, have brand guidelines and Eskmills and Dunglass have venue bibles from which you can absorb background and operational detail - particularly, familiarise yourself with the all of the service propositions, attributes and features of the brands
  • General administration duties such as client file management (online and offline), answering phones, paperwork, invoicing and producing event confirmations/paperwork
  • Costing of jobs and packages accurately, and in-line with the venue, and companies pricing policies
  • Collation of weekly event packs
  • Contribute to weekly events meetings
  • Learn in detail the features and benefits of the venues where we work, read the venue bibles and be ready with answers for potential and existing clients
  • Learn in detail all of the operating systems and processes which the business uses for managing resource, clients and jobs
  • Be focused on client response to enquiry, mapping the detail onto our CRM correctly and accurately each and every time
  • Learn in detail how to attract correct information from a client to allow pricing and processing of all enquiries to take place seamlessly
  • Learn in detail the customer journey which our enquires and our booked business take, effectively immersing yourself in the phases of enquiry to final delivery and understanding the importance of regular and clear communication to the client and around the business departments to ensure of information relay and thus the high demands of the customer's expectations are delivered through the quality of the experience
  • Be prepared to take direction from the all of the team on specific tasks i.e. event packs, observing and participating in the weekly events meeting, contributing to the weekly reporting system and in general working positively and collaboratively with the sales and planning teams and all supporting teams for a smooth client delivery

  • Liaise with third party suppliers and contractors to ensure continuity of deliverables as per agreed within client contract and expectations

  • Outstanding IT skills - including Microsoft Excel, Word and Powerpoint and the ability to engage quickly and efficiently with our CRM system
  • Must be open and honest with the team when priorities might need to change and ask for advice on how to re-prioritise to meet the needs of the business
  • Adept at working with others and managing projects simultaneously
  • Committed to learning how to deliver the 'Hickory' experience in all internal and external client relationship management
Hours:
  • 40 hours per week
  • Willingness and flexibility to work outside these hours when necessary to learn and progress in the business to meet the requirements of the job.
  • Holiday Entitlement 28 days (pro rata) including public holidays - to be taken to suit the needs of the department and the business
Location
  • Based within the Sales and Planning team of Hickory at our City Centre Edinburgh Office
  • From time to time it will be a pre-requisite of your training programme that you will be required to work at venues throughout Scotland.
