Maintain and update the property management systems (Tramps and Yardi Voyager), including setting up new leases, processing terminations, renewals, assignments, and rent reviews.
Reconcile tenant accounts to ensure accuracy and resolve discrepancies.
Prepare and issue ad-hoc demands for rent, service charge, and insurance.
Deliver month-end reporting packs for clients, covering deposit schedules, VAT reporting, unallocated receipts, aged debt, and demand/collection summaries.
Recharge costs to tenants and process all incoming receipts and refunds.
Complete reconciliations of client bank accounts and provide clear reporting.
Produce quarterly service charge reports and upload annual service charge budgets onto Voyager.
Manage service charge reconciliations, year-end closures, and cash reconciliations within agreed deadlines.
Administer monthly direct recoverable reconciliations and payments to clients, along with regular rent and insurance payovers.
Respond to tenant queries efficiently and professionally, ensuring a high standard of service.
Collaborate with surveyors and property managers to action instructions within a strict five-day turnaround.
Raise landlord void charges on a quarterly basis and check monthly property manager charge reports.
Process accounts payable invoices linked to refunds and service charge income.
Provide analysis and reporting through Excel, both scheduled and ad hoc.
Handle general administrative duties as required to support smooth operations.
Act as a point of contact for client queries, providing resolutions and updates.
Support colleagues across the wider team to ensure seamless service delivery.
