About the Role
We are seeking an organised and proactive
Personal /
Executive Assistant
to provide administrative and operational support across three associated property businesses:
A property management company
A property investment company
A property inventory and inspection company
This is a great opportunity to immerse yourself in an award winning group of property companies.
This role is ideal for someone who has property inventories, lettings and/or property management experience, enjoys variety and responsibility. You will work directly with the Director, handle day-to-day administration, assist with projects, and provide cover for other team members during leave periods.
The hours Monday to Friday 5 hours a day, this is an office-based role, total 25 hours a week.
Please note: the salary stated (32k - 35k) is for a full time position and will be pro-rated based on the part time hours which are agreed with the applicant.
Key Responsibilities
Executive & Administrative Support
Maintain organised digital and paper filing systems across all companies.
Handle confidential and business-sensitive information with discretion.
Liaise with accountants, solicitors, contractors, and external partners.
Business Operations
Property lettings & management - Dealing with the overflow of lettings, including arranging viewings, negotiations, issuing of contracts and dealing with all tenant queries
Dealing with the overflow of property management, rent & service charge collections
Track and update property management documentation and compliance records.
Assist with property investment research, scheduling, and transaction support.
Property inventories- Managing the inventory side of the business - Coordinating inventory appointments, job tracking, and client communication.
Dealing with new and existing clients, arranging bookings, and coordinating other members of staff.
Issuing and dealing with invoices and reconciling payments
Support general office administration: utilities, insurance, licensing, and renewals. Maintaining shared spreadsheets and business databases.
Provide administrative cover for colleagues during annual leave or busy periods.
Key Skills and Attributes
At least 2 years experience within property management, lettings, or real estate administration. Applications without the relevant experience will not be considered.
Experience of property inventories would be useful
Excellent computer skills, numerate and literate, multi-tasking essential as is the ability to work independently under minimal supervision and as part of a team.
Attention to detail is important.
Excellent communication skills
Good work ethic
Ability to organise and prioritise work with strong time-management skills.

Proven experience as a PA, Executive Assistant, Office Manager, or similar role.
Confident communicator with strong written and verbal English.
Competent with Microsoft Office / Google Workspace and general IT systems.
Professional, trustworthy, and adaptable -- comfortable working across multiple businesses.
Use of your own car would be useful.

Salary 30,000-32,000 pro rata. Please note: the salary stated is for a full time position and will be pro-rated based on the part time hours which are agreed with the applicant.
