We are seeking a proactive and compassionate Academic and Welfare Officer to join our Academic Office team. This is a key role focused on supporting student progression, wellbeing, and graduation through high-quality administrative processes and student-facing guidance. You will play a central role in ensuring the student experience is well-supported, well-informed, and fully compliant with university policy and legislation.


The position is set to commence ASAP and will be full-time for an initial duration of 12 weeks with a pay rate of 16.57 per hour + holiday pay


Key Responsibilities



On-course Academic Support



Monitor academic progress and use sound judgement to identify and escalate academic or welfare issues Manage the administration of suspensions, withdrawals, and other changes to student status Coordinate and support reasonable adjustments for students with disabilities, especially during exams Support the exam period including scheduling, invigilation logistics, and results monitoring Assist with mitigating circumstances applications and support students during suspension and return

Student Engagement and Advice



Serve as the first point of contact for academic and welfare-related enquiries Provide clear, accurate advice to students on progression and exam-related matters Maintain and update student data on the ERM database, ensuring accuracy and confidentiality Update website content, newsletters, and student information resources

Advisor Coordination and Welfare Liaison



Assign and update College Advisors and facilitate effective communication between advisors and students Coordinate termly meetings between welfare staff and student representatives Support welfare-related events and grant allocation processes Stay current with University and College policy around academic and student wellbeing

Graduation Administration



Manage the full cycle of graduation processes, from student registration to ceremony day Liaise with Degree Conferrals Office and ensure graduands receive timely and clear communications Oversee ceremony logistics, ticketing, and act as the attending officer on the day

Academic Office Support and Student Records



Contribute to the administration of student records, including ID checks and visa documentation Support start-of-year activities, including matriculation, registration, and welcome events Maintain accurate records in accordance with GDPR Provide documentation and certify official student records as required Assist with College communications, including the student newsletter and website updates

Selection Criteria



Excellent communication and interpersonal skills; confident working with a wide range of people Meticulous attention to detail and ability to work accurately at all times Numerate, with strong IT skills and willingness to learn new systems Ability to manage multiple priorities, remain calm under pressure, and organise workload effectively Sound judgement and initiative in resolving queries or identifying concerns Discretion in handling sensitive information and strong understanding of GDPR Proven team player with a flexible, positive, and cooperative attitude
