Access and Inclusion Champion

to join our team for the 2025 season. This role is central to ensuring that our magical festive event is truly accessible for all -- from guests with mobility challenges and sensory impairments to underrepresented communities.


This is your opportunity to shape meaningful change at one of London's most iconic seasonal experiences.

Accessibility Planning and Coordination:

o Collaborate with HPWW event organizers and stakeholders to assess accessibility needs and requirements for the event.


o Develop comprehensive accessibility plans and strategies to accommodate individuals with diverse needs, including those with disabilities, sensory impairments, mobility challenges, and other access requirements.


o Liaise with the Production and Operations teams to ensure that physical spaces, facilities, and services are designed and set up to meet accessibility standards.

Diversity and Inclusion Initiatives:

o Design and implement diversity and inclusion initiatives to promote an inclusive atmosphere at HPWW, ensuring that people from all backgrounds feel welcome and represented.


o Advocate for diversity and inclusion principles throughout the event planning process and encourage our event partners to embrace inclusive practices.

Training and Awareness:

o Conduct training sessions for key HPWW staff, such as ride operators or third-party contractors, to raise awareness about accessibility and inclusion and equip them with the necessary knowledge and skills to assist guests with different access requirements.


o Educate ride operators and traders on best practices for accommodating diverse audiences and fostering a respectful and inclusive environment whilst maintaining health and safety requirements of the event.


Accessibility Support and Guidance:

o Serve as a point of contact for guests with access requirements online via Zendesk and at the live event, offering assistance and guidance to ensure they have a positive experience.


o Manage all inbound accessibility complaints from start to finish, adhering to the IMG expected SLAs, with the support of the CS Managers and event organisers where required.


o Provide accessible materials, resources, and information to attendees in alternative formats when needed.


o Assist in the management of distributing essential companion wristbands to all guests who require them, including but not limited to supporting where approval of documentation is required and storing appropriately.


Liaison with Accessibility Organisations:

o Establish and maintain relationships with disability organisations and other relevant groups to stay informed about best practices, industry trends, and emerging accessibility technologies. Preference will be given to candidates who have undertaken formal access and inclusion training with professional bodies such as Attitude is Everything, Access and Inclusion UK or Scope, etc.


o Proven experience in event planning or accessibility coordination, with a focus on diversity and inclusion on large-scale event sites.


o In-depth knowledge of accessibility laws, regulations and best practices.


o Strong interpersonal skills and the ability to work collaboratively with diverse teams.


o Excellent communication skills, both verbal and written, with the capacity to engage with individuals from varying backgrounds and needs.


o Empathy and passion for advocating the rights and inclusion of individuals with diverse abilities and identities.


o Creative problem-solving abilities and a proactive approach to implementing accessibility solutions.


o Flexibility and adaptability to work in a fast-paced, dynamic event environment.


o A genuine desire to shape memorable and empowering experiences that leave a positive impact on everyone involved.

Accessibility Audits and Feedback:

o Conduct post-event accessibility event debriefs to evaluate the success of implemented accessibility measures and identify areas for improvement.


o Solicit feedback from guests with access requirements where appropriate to continuously improve the accessibility of future events.


Requirements



Flexibility and adaptability to work in a fast-paced, dynamic event environment. Preference will be given to candidates who have undertaken formal access and inclusion training with professional bodies such as Attitude is Everything or Scope etc. Proven experience in event planning or accessibility coordination, with a focus on diversity and inclusion on large scale live events with multiple stakeholders and operators.
