Archivist Gallery is a design-led print studio and homeware brand, celebrated for our bold, playful, and hand-printed products. Based in the beautiful village of Penley in Wrexham, we're a small, growing team committed to craftsmanship, creativity, and excellent service. Every team member plays a vital role in our success -- and we're now looking for a talented and detail-oriented Accounts & Logistics Assistant to join us at our busy rural studio.
Role Summary
This is a varied and hands-on role that blends financial administration, logistics coordination, and customer care. You'll help ensure the smooth running of day-to-day operations -- from managing client accounts to assisting with shipping and inventory -- all while contributing to the friendly and collaborative atmosphere of our team.
Key Responsibilities
Finance & Accounting
Manage the sales ledger: issue invoices, ensure prompt payment, and send monthly account statements.
Resolve account queries with clarity and professionalism.
Support with profit and loss updates, credit card reconciliations, and financial reporting.
Assist with online billing portals and maintaining financial analysis spreadsheets.
Order & Logistics Coordination
Oversee daily retail and wholesale orders: processing orders, generate shipping labels, and courier manifests.
Input tracking and invoicing details post-shipment, including on platforms like Faire.
Coordinate large, bespoke, or time-sensitive orders with relevant teams.
Manage returns, troubleshoot shipping issues, and respond to customer delivery queries.
Stock & Inventory Support
Update inventory data and record daily product assemblies.
Assist with quarterly stock checks and year-end stocktakes.
Monitor and record stock wastage and support with regular spot checks.
Customer Support & Admin
Ensure every customer interaction reflects our brand's warmth and reliability.
Maintain employee performance logs and report productivity data.
Help streamline processes and suggest improvements as we grow.
Essential Skills & Experience
Proven attention to detail and excellent organisational skills.
Ability to work independently as well as part of a close-knit team.
Good working knowledge of MS Excel and accounting software (e.g., Xero, Sage, or QuickBooks).
Basic knowledge of accounting principles and financial processes.
Proactive, solutions-focused, and willing to learn.
Desirable Skills
Experience with stock and inventory systems (e.g., Cin7).
Familiarity with e-commerce platforms like Faire, Shopify, or similar.
Understanding of international shipping processes.
