About the role



We are looking for an Accounts Payable Coordinator responsible for ensuring accurate and timely supplier invoice processing and focusing on addressing queries. Working alongside the wider Finance team and regularly interacting with other departments to determine accuracy, your role will focus on the timely matching and payment of invoices.





Our ideal candidate would have experience in accounts payable administration and have excellent attention to detail. Strong organisation and problem-solving skills are important to help resolve issues efficiently to minimise the occurrence of in dispute invoices.





Communication with suppliers would take place over the phone and via email. It is important that the successful candidate be comfortable with this and be able to balance the interests of the supplier and Aspire.





What you will be doing


Managing day-to-day supplier administration duties across the following: + Reconciliation of invoice to PO and monthly statements
+ Posting of costs to the finance system appropriately
+ Maintaining invoicing documentation in the appropriate place
+ Driving forward invoice queries and obtaining credit notes when appropriate
+ Coordinating twice-monthly supplier payments, ensuring that payments are made to terms or held as appropriate
+ Placing orders with suppliers and updating pricing as needed
+ Management of a mailbox for supplier documents and procurement requests
Developing and maintaining strong working relationships with key stakeholders and teams across the Aspire network to ensure that supplier queries are fully supported. Use relevant systems in a consistent manner to enable efficient invoice processing. Support continual improvement by identifying opportunities for improvement and efficiency.



You will suit the role if you have



Previous experience in a payables role, with a proven ability to deliver a high standard of customer service in a high-volume business. Excellent organisation and time-management skills with a high attention to detail to ensure billing is accurate and to minimise queries or errors. Excellent communication, documentation and writing skills to process queries politely and promptly. Strong ability to build and maintain meaningful relationships with suppliers and stakeholders. Self-motivated, proactive and able to work independently as well as part of a team.

Salary



25,000 to 28,000 per annum (depending on experience)

Location and Working Arrangements



You will be based at Aspire's Gateshead Head Office.





Hours of Work



Full time (37.5 hours per week), Monday to Friday
