Accounts & Payroll Assistant



Duties & Responsibilities Include

Accounts Receivable



Raising sales invoices in QuickBooks Online

Setting up new clients on QuickBooks.

Reviewing weekly client recharges

Preparing weekly theatre contra for Wembley Park Theatre and Canary Wharf Theatre

Matching incoming receipts against sales invoices

Accounts Payable



Matching PO's to purchase invoices

Maintenance of central accounting mailboxes for all entities

Liaising with suppliers to resolve queries

Reconciling supplier statements

Ensuring aged creditors balance is up to date with no payments on account

Post credit card transactions accurately and timely in QuickBooks

Maintaining and reconciling the Soldo cards weekly

Match off daily bank transactions on QuickBooks to ensure ledger remains clean

General



Perform monthly bank reconciliations at the end of each month hence the exercise above is integral.

Key to ensure the bank balance at the end of the month in QuickBooks matches Barclays statements. Form's part of balance sheet reconciliation.

Payroll



Ensure all new starters have completed on boarding in Workforce. Check with department heads if any details are missing.

Export data from Workforce and circulate to department heads for approval.

Once approval is received from ALL department heads import data from Workforce into QuickBooks for relevant entity.

Approve timesheet data in QuickBooks.

Create new payroll for the week and check/sort for any anomalies.

Finalise payroll, submit to HMRC, export journals and download Barclay's payment file.

Import payment file into Barclays.net and sanity check information matches back to QuickBooks before approving for payment.

Ensure pay slips are distributed to employees timely.

Submit pensions off to NEST on a weekly/monthly basis.

Key Requirements



Proven experience in accounting & bookkeeping (2-3 years)

Strong IT skills and experience in particular Excel, Word, Outlook. Familiar with QuickBooks Online, Soldo, Workforce etc

Excellent communication and organisational skills

Ability to manage tight deadlines

Job Type: Full-time

Pay: 28,000.00-32,000.00 per year
