Job Salary: 24,813 fte per annum Team: Assist Team Contract Term: Fixed Term - Ending December 2025 Location: Birmingham City Centre - Office based role (5 days per week) Hours: 37.5 hours per week, Monday to Friday

Role Purpose:



The Admin Assistant is a vital part of the Assist team. Their support, organisation skills and attention to detail enables the advisors to complete their work to help our clients. The Admin Assistant is crucial to the process for our beneficiaries receiving the support they require, in a timely manner. The Admin Assistant plays a key customer-facing role, delivering exceptional service to our clients and beneficiaries with empathy and discretion, ensuring every interaction is handled professionally and compassionately.


Responsibilities:




Receiving and handling correspondence, including telephone calls, from beneficiaries and other external contacts, handling or transferring them to the appropriate person to ensure complete and correct information quickly and with excellent customer service; Entering data and accurately recording all information taken from portals, emails and calls, and adding this onto the database; Providing information via email for organisations and beneficiaries regarding individual queries and application processes; Scanning on post and uploading this information to the beneficiary's case file; Printing and franking letters so all correspondence is kept up to date; Making outbound calls to beneficiaries to book in appointments for the Assist Team; Ordering household items from designated suppliers for safe delivery to beneficiaries, liaising as requested with beneficiaries or their representatives; Provide continued support to the Assist Team; Continuously reviewing and play an active part in the work of the team and Auriga, suggesting improved ways of working and new ideas; Working to deliver exceptional service in line with Auriga's values; Ensuring GDPR, safeguarding and other policies are followed.

Be passionate about providing an effective service to those in need; Be organised and able to manage your time effectively to meet deadlines; Have a good eye for detail and a high degree of accuracy; Have excellent people skills, being able to deal with people who are struggling; Expect to be able to receive difficult and sometimes emotional conversations when talking to people in need (we do provide training for this); Have good oral and written communication skills; Be proficient in Microsoft Word, Excel, Outlook and Teams; Have previous experience of inputting data and using IT and databases; Be able to work effectively in a team, supporting others when needed; Work in the office 5 days per week.
