We are seeking a highly organised individual to support the smooth running of our office at Ynystawe Lodge in Ynysforgan. As our admin assistant, you will work closely with the Registered Manager and play a vital role in ensuring the smooth and efficient running of the service. Your support will help our team continue to provide high-quality care in a safe and welcoming environment.
Role and Responsibilities
Maintain accurate financial and compliance records (e.g. PWS monies, DBS checks, health assessments).
Manage staff systems including alarms, mobile phones, and communication protocols. Handle calls, emails, and correspondence professionally and promptly.
Coordinate meetings, appraisals, events, and staff inductions.
Monitor office supplies and manage purchases within budget.
Take meeting notes and share action points.
Welcome visitors and arrange hospitality.
Organise Return to Work meetings and track staff actions.
Support onboarding and liaise with senior staff.
Manage incoming/outgoing mail and improve internal communication.
Experience
The ideal candidate will have strong communication skills and a professional, approachable manner. They will be self-motivated, enthusiastic, and committed to maintaining high standards in their work. Proficiency in relevant IT systems and software is essential, along with a high level of integrity and attention to detail. The ability to prioritise tasks effectively and work collaboratively within a team is key to success in this role.
