About Loop Theatre



Loop Theatre SCIO creates inclusive, community-based theatre and movement work with and for adults with learning disabilities. We deliver joyful, barrier-free creative environments where disabled and non-disabled artists learn, make, perform, and grow together.

Role Purpose



The Admin Manager plays a central role in ensuring Loop Theatre SCIO runs smoothly across day-to-day operations. Working closely with the Artistic Director, they provide essential administrative, organisational, and communication support.

Key Responsibilities



Administrative Support



Manage core organisational administration including emails, calendars, filing, and document organisation Communicate with participants, family members, carers, volunteers, and partners Maintain internal systems, shared drives, registers, and databases Support scheduling for classes, rehearsals, meetings, and events Assist with finance admin: invoices, receipts, monthly summaries

Reporting & Governance



Prepare quarterly administrative reports for the Artistic Director and Board of Trustees Assist with preparing materials for trustee meetings Maintain organisational documents and compliance files

Volunteer & Staff Support



Support the Volunteer Coordinator with paperwork and admin Assist tutors and workshop assistants with scheduling and communication Help maintain a well-organised environment for staff and participants

Events & Project Support



Assist with planning and admin for workshops, performances, and community events Support logistics such as bookings, travel, equipment, and schedules

Compliance & Safeguarding



Maintain safeguarding documents, emergency contacts, and incident forms Ensure compliance documents are current and accessible

Person Specification - Essential



Strong administrative and organisational skills Ability to work independently and manage own schedule Excellent verbal and written communication Confident using email, cloud storage, spreadsheets, and calendars Reliable, proactive, confidential, and professional Commitment to inclusive practice and supporting adults with learning disabilities

Person Specification - Desirable



Experience in charity, arts, community or social care settings Knowledge of safeguarding and GDPR Basic finance admin experience Volunteer coordination experience Interest in creative or community work

Working Arrangements



Freelance role -- invoice monthly for hours worked One fixed weekly in-person day with the Artistic Director Remaining hours flexible and remote Occasional evening/weekend work during project periods

Contract Term



Initial 6-month freelance contract (January-June 2025) Expected renewal subject to funding 3-month review with the Artistic Director
