The Healthy Back Bag Co is seeking a highly organised and detail-oriented
Admin & Operations Manager
to support our team. This is a hands-on role spanning stock control, shipping, accounts, and general operations.
We're a small team of six based in our UK office, and we're looking for someone proactive, reliable, and enthusiastic about getting involved in all areas of the business.

From our Dalston office, we manage everything from product development to global production and logistics, brand management, and marketing. Key Responsibilities
Stock Control & Fulfilment
Liaise with fulfilment centre on incoming international consignments, periodic stock checks, and product allocations
Work closely with the team to ensure smooth order fulfilment and accurate documentation
Monitor 3PL costs and efficiency levels
Shipping & Logistics
Manage relationships with freight forwarders
Request and compare shipping quotes
Track shipments and follow up on relevant documentation
Accounts Administration
Process orders and oversee both sales and purchase ledgers, including credit control
Manage production orders, and factory and international distributor documentation
Manage data entry and payment processing
Reconcile and verify transactions in GBP, EUR, and USD
Liaise with our external accountant at month-end
Track and reconcile settlement discounts, marketplace commissions, and third-party fees
Onboard new wholesale customers and manage credit setup (including documentation and reference checks)
Executive & HR Support
Provide administrative support to the Managing Director
Oversee staff expense claims and manage the holiday schedule
Maintain HR records and documentation
Provide back up to customer services, incl. responding to consumer queries, assisting with office despatches, tracking samples, display fixtures, and exhibition materials
Skills & Requirements
Excellent organisational skills with strong attention to detail
Fast learner, comfortable working with bespoke systems
Familiarity with financial admin and account processes is essential
Confident communicator, both internally and with external partners
Able to work accurately across multiple currencies and platforms
