Position Overview:
As an
Admin Support
, you will provide essential administrative and operational support to ensure the smooth running of daily business and project activities. Your responsibilities will include handling office communications, managing project documentation, assisting with procurement and logistics, and supporting the wider team with day-to-day administrative tasks.
The ideal candidate is organised, proactive, and capable of handling multiple priorities in a fast-paced environment.
Key Responsibilities:
General Administrative Support:
Handle incoming calls, respond to inquiries, and forward messages to the appropriate team members.
Document Control:
Maintain and organise all project and company documentation, ensuring accuracy and proper version control.
Distribute updated files and records to relevant teams or departments.
Procurement Support:
Assist in sourcing and ordering materials, tools, and supplies.
Prepare purchase orders, track deliveries, and update procurement logs.
Coordinate with suppliers and ensure timely delivery of items.
Logistics & Materials Coordination:
Arrange deliveries, collections, and material transfers between sites.
Liaise with transport teams and site staff to ensure smooth logistics flow.
Insurance and Certification:
Responsible for car insurance and certifications, ensuring timely renewals and accurate records.
Health, Safety & Compliance:
Support in maintaining records and documentation related to safety, quality, and compliance.
Training on Health & Safety regulations, site safety procedures, and on-site PPE requirements will be provided to the successful candidate.
Qualifications:
Open to all levels.
Flexible or negotiable working hours to suit day-to-day office operations (timeline: 2-4 weeks).
Strong organisational, communication, and multitasking skills.
Proficiency in MS Office (Word, Excel, Outlook) is an advantage but not required.
