As the business grows, we are strengthening our back-office team with a reliable Admin / Finance Assistant to support our operations and finance functions remotely.
The Role
As an Admin / Finance Assistant, you will provide day-to-day administrative and finance support to the management team.
You'll help keep our records accurate, our finances organised, and our communication smooth between clients, management, and staff. This role is ideal for someone who is detail-oriented, organised, and comfortable working independently in a remote environment.
Key Responsibilities
1. Financial Support & Costing
Prepare pricing models for tenders, contract bids, and new proposals.
Analyse labour, material, and operational costs to support accurate quotations.
Assist with forecasting, budgeting, and financial planning.
Track financial performance across contracts and highlight discrepancies.
Work closely with senior management on cost-saving initiatives and financial strategy.
2. Finance Administration
Process invoices, receipts, staff payments, and expense claims.
Support payroll preparation through timesheet checks and verification.
Maintain accurate financial logs, spreadsheets, and records.
Assist in month-end reconciliation and income/expense reporting.
Communicate with suppliers regarding statements and outstanding balances.
3. Administrative Duties
Manage email communication, document filing, and general admin tasks.
Keep staff records, compliance documents, and onboarding paperwork up to date.
Support rota updates, scheduling, and data entry for the operations team.
Prepare reports, letters, and templates as needed.
4. Systems & Data Management
Maintain spreadsheets, financial trackers, and staff databases.
Use digital workforce tools (time & attendance, HR management, etc.).
Produce reports for senior management, including cost summaries and performance metrics.
5. Communication & Coordination
Serve as a key support point for operations, finance, and admin queries.
Follow up on outstanding documentation from teams and supervisors.
Escalate discrepancies, errors, or urgent financial issues immediately.
What We're Looking For
Strong financial background (minium of 3 years experience) -- costing, budgeting, or finance support
Experience preparing excel-based pricing models, budgets, or cost breakdowns#
Administration and finance support experience in a similar role
Proficient in use of accounting software like QuickBooks, Xero, ClearBooks, etc
Excellent Excel/Google Sheets skills (pivot tables, formulas, data structuring)
Strong analytical and numerical ability
Exceptional attention to detail and accuracy
Ability to manage confidential information
Good communication skills (written and verbal)
Self-motivated, reliable, and able to work remotely without supervision
Ability to meet deadlines and manage multiple priorities
Experience supporting bids or tenders is a strong advantage
What We Offer
