Job Description

Optometry Scotland are currently seeking an Administration and Communications Coordinator to join our team. This varied role involves supporting our members, coordinating internal and external communications, and contributing to the smooth running of our organisation. The ideal candidate will have excellent administration skills and experience with digital platforms, including social media.

Key responsibilities:



Providing administrative and operational support to the Board of Optometry Scotland including scheduling, agendas, minutes and supporting documents

Coordinating communications between Optometry Scotland representatives and external forums, including preparing updates for the Board.

Engaging with and supporting new and existing members in all aspects of Optometry Scotland membership

Supporting administration and coordination of membership payments and direct debit processes.

Supporting with organising Optometry Scotland events in person and online, and representing Optometry Scotland at sector events[RS1]

Developing and maintaining public relations and marketing materials including maintaining social media platforms and website

Supporting relationships with relevant external stakeholders and third sector organisations

Essential skills:



Experience in administration, communications or membership support role

Excellent verbal and written communication skills

Strong organisational and time-management skills with the ability to work proactively both independently and as part of a small multi-disciplinary team

Experience supporting meetings, including diary coordination, agenda preparation and minute taking

Willingness to work flexibly, including occasional evenings or weekends with notice

Comfortable using cloud-based systems and tools (e.g. shared drives, online scheduling, email marketing platforms)

Desirable skills:



Familiarity with Hootsuite, GoCardless, WordPress, and website content management

Experience using Xero or similar finance systems

Experience in digital analytics or reporting tools (e.g. social media or website insights)

Experience working with elected representatives or in a political or stakeholder engagement context

Interest in or awareness of health and care policy in Scotland

Our members include optometrists, dispensing opticians, and optical bodies corporate. Together, we protect and promote the General Ophthalmic Services (GOS) model, influence national policy, and support the evolving needs of the profession.

Part-time may be considered for an exceptional candidate

Pay: 25,000.00-28,000.00 per year

Expected hours: 37.5 per week
