Job Summary


We are seeking a dependable and well-organised

Administration & Operations Officer

to provide essential administrative and operational support. To deliver high-quality administrative, operational, and customer service support, ensuring the smooth, safe, and compliant running of buildings, systems, and processes. The role supports day-to-day office functions, operational projects, building management responsibilities, and statutory/health & safety duties.

Responsibilities



Operate booking systems, manage appointments, arrange training and coordinate the hiring of spaces. Maintain and update hire documents, policies, risk assessments, and method statements as directed. Support the safety, security, and daily management of buildings, including safety systems, risk assessments, ATM booking visits, CCTV liaison, and annual inspections--ensuring all documents remain up to date. Work with colleagues to manage cleaning schedules, janitorial supplies, servicing needs, PPE, and COSHH compliance. Complete and record weekly checks as required. Undertake utility readings and upload photographic evidence. Assist with updating the asset register and support periodic building valuations. Maintain accurate records of all regulatory checks and servicing. Participate in training and professional development to support Health & Safety and building management compliance. Provide general administrative support, including handling visitors, calls, enquiries, and routine office tasks. Answer and direct all incoming calls and forwarded emails as appropriate. Support meetings when required. Support event management processes, including licences, road closures, and operational arrangements.

Skills



Experience in administration, office management, or operational support. Strong organisational skills with the ability to manage documentation, schedules, and compliance. Good communication and customer service skills when working with colleagues, stakeholders, hirers, contractors, and the public. Confident IT user, capable of managing booking systems, digital forms, and accurate records. Reliable, proactive, and able to work independently across a 4-day working pattern. Ability to follow regulatory processes accurately and maintain audit-ready records.

Desirable:



Experience in building management, fire safety checks, or health & safety compliance. Understanding of local government administrative or regulatory frameworks. Knowledge of COSHH, PPE requirements, and facilities management. Familiarity with asset registers or booking/hire systems. Local knowledge and experience with community or public sector organisations.
Job Types: Part-time, Permanent

Pay: 15.31 per hour

Expected hours: 14 per week
