Administration Assistant - MySkinDoctor



Location: Technology House, West Road, Fishersgate, Brighton BN41 1QH

Hours: Monday-Friday, 09:00-17:00 (37.5 hours per week)

Salary: 26,025 per annum + discretionary annual bonus

Contract: Permanent, full-time

Hybrid working: Office-based initially, with eligibility to work from home (part of the week) after successful completion of a 6-month probationary period

MySkinDoctor (MSD) is an independent healthcare provider working in partnership with the NHS to deliver specialist teledermatology services, supporting the diagnosis and management of skin conditions ranging from acne to suspected skin cancer. Using our mobile app and bespoke clinical portal, we help patients access expert dermatology care quickly and efficiently.

The Role



We are looking for professional, patient-focused Administration Assistants to join our friendly team in Fishersgate. This is a busy, varied role supporting patients, GPs and our clinical team, where accuracy and empathy really matter.

As an Administration Assistant, you will be a key point of contact for enquiries via the MySkinDoctor app, email and telephone. You will support the smooth running of our teledermatology service by managing patient correspondence, updating clinical systems and liaising with partner organisations.

This role is ideal for someone with recent admin or customer service experience in a healthcare or other regulated environment, who enjoys working with people and is comfortable using multiple IT systems.

Key Duties and Responsibilities



Act as the first point of contact via the MySkinDoctor app, email and telephone for patients, GP practice staff, clinicians and other partner providers, responding promptly and professionally. Use TPP SystmOne and the MySkinDoctor portal to access and update patient information and clinical data. Update patient records accurately with details of app, email and telephone correspondence. Communicate clinical outcomes to patients and GP practices in a clear, sensitive and professional manner (following agreed templates and protocols). Monitor shared inboxes, task lists and answerphone services, ensuring all messages are actioned accurately and within agreed timescales. Check and action "administration team" tasks on SystmOne in date order, escalating issues where appropriate. Liaise with a wide range of internal colleagues, including management, consultants, GPs, IT, nurses and other administrative staff. Handle confidential patient information with discretion at all times and in accordance with GDPR and MySkinDoctor policies. Contribute to an open, friendly and proactive team culture, suggesting improvements to processes and procedures where you see opportunities. Attend staff meetings and training as requested by the management team. Provide general administrative support to colleagues and undertake any other reasonable duties as required to support the service.

About You - Essential



To be shortlisted, you must be able to demonstrate:

Education

: Educated to GCSE level (or equivalent), including English and Maths at grade C / 4 or above.

Experience

:

At least 12 months' recent experience in an administrative or customer-facing role in a healthcare setting (e.g. GP practice, NHS Trust, community health, private hospital, dental/optical practice), or, in another regulated environment (e.g. legal, insurance, social care) involving confidential information and regular contact with the public.

Communication & customer care:



Excellent customer service skills with the ability to communicate in a sensitive, empathetic and professional manner via email and telephone. Strong written English, with the ability to produce clear, accurate and professional correspondence to patients and GP practices.

IT & organisation:



Confident using computers, including email and standard office software (e.g. Microsoft Word and Excel). Comfortable working across multiple digital systems and managing electronic records. Ability to organise and prioritise workload in a busy environment, maintaining attention to detail.

Approach:



Flexible and positive attitude, with a willingness to adapt to changes in processes and procedures. A genuine interest in supporting patients and clinicians and working as part of a collaborative team.

Desirable:



It would also be helpful (but not essential) if you have:

Experience using TPP SystmOne or other clinical Electronic Patient Record IT systems. Experience handling confidential information in line with GDPR or similar regulations. Experience working in a high-volume contact environment (e.g. managing busy inboxes, telephony or app-based enquiries). An NVQ Level 2/3 in Business Administration, Health & Social Care or a similar qualification, or equivalent experience.
