At Floorplan Group we are trying to change how people see tradespeople and provide the best service and workmanship to them highlighting great communication, transparency in our costings, and building excellent working relationships. We specialise primarily in domestic projects across Southampton, Winchester, Romsey, Fareham, Portsmouth, and New Forest. Our projects include home extensions, loft conversions, kitchen fitting, converting properties into HMOs and now branching into Gas Engineering services.
We are seeking a detail-oriented and proactive Administrative Assistant to join our small but fast-growing team to help manage the workload and smaller administrative tasks supporting our Business Development Manager. We need extra support for 12-16 hours a week (schedule to be discussed as this is flexible based on the right candidate), and preferably Monday, Wednesday and Friday, but this can be flexible depending on the chosen candidate's schedule. It will be
part-time for now
but looking to
hire full-time in the future
. In January 2026 we will be moving into a new office
near Southampton Airport
, so commuting there is necessary for this role.
Responsibilities
Contact customers to arrange site visits and appointments booking them into the schedule by phone
Quote our customers for call outs and work using Xero
File away all relevant documents/building plans for the ongoing projects as they are received into OneDrive
Liaise with the Site Foreman to arrange the weekly schedule for the team on an Excel spreadsheet
Perform data entry tasks accurately and efficiently.
Handle scheduling and calendar management for team members as required
Provide clerical support to the Business Development Manager
Social media management on our Instagram and Facebook pages - more desirable for the role
Potentially managing our Mailchimp account sending out newsletters, composing emails to our clients and managing our database
Qualifications
Previous administration experience is essential; knowledge of the construction industry is highly desirable.
Proficient computer skills with a experience in Microsoft Office Suite (Word, Excel)
Familiarity with Xero is a plus.
Excellent organisational skills with the ability to manage multiple tasks simultaneously.
Team player and communicative.
Strong typing skills with attention to detail for accurate data entry.
Demonstrated phone etiquette and interpersonal skills to communicate effectively with clients and colleagues.
