Purpose and Mission
To provide H&S, Logistics and administration support to the Ropes360 department, including H&S support, control of all logistic, travel arrangements and booking, data management, report writing, department planning, planning of training, filing scanning, diary management, completion of monthly reporting, plus other ad hoc administration duties as and when required.
Key Activities and Responsibilities
Logistics & Shipping:

  • Organize the shipping of all Ropes360 goods, ensuring timely and efficient delivery.
  • Administer inbound and outbound logistics processes, including tracking shipments and liaising with suppliers and service providers.
  • Act as the primary point of contact for all shipping and logistics inquiries.
  • Organize Visa, contract management software.
Travel & Event Coordination:
  • Arrange travel and accommodation, including flights, train tickets, visas, vaccinations, and transport documentation.
  • Manage meeting venues, hotel reservations, and itinerary planning for employees and visitors.
  • Coordinate conferencing facilities, catering, and diary management for meetings and events.
  • Support employees with visa applications and travel-related documentation.
Training & Certification Management:
  • Manage the training requirements of all team members and maintain accurate control of certificates.
  • Ensure compliance with industry training standards and track certification renewals.
Office Administration:
  • Meet and greet visitors at all levels of seniority, ensuring a professional and welcoming environment.
  • Maintain and improve office systems, including data management, filing, scanning, and documentation.
  • Produce documents, briefing papers, reports, and presentations for the site management team.
  • Collate data to produce statistics and reports as required.
  • Maintain accurate records in the attendance management system, including tracking holiday bookings.
  • Distribute post and administer DHL parcels.
SAP & Reporting Responsibilities:
  • Act as the SAP master user, including booking goods in, receipting of goods, and raising requisitions.
  • Check and issue technicians' reports, ensuring accuracy and timely distribution.
Qualifications & Experience:
  • Proven experience in an administrative, office management, or logistics coordination role.
  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Experience with SAP or similar ERP systems is highly desirable.
  • Experience with SharePoint systems.
  • Qualified in the shipment of dangerous goods.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Attention to detail and ability to work independently.
  • Familiarity with logistics, shipping, and travel arrangements.

  • Excellent word processing and IT skills, including knowledge of a range of software packages
  • Excellent organisational and time management skills
  • Attention to Detail: A keen eye for detail is essential.
Previous Experience
A minimum of two years' relevant experience in a administrative role
Previous experience in logistics and safety would be a distinct advantage
Qualifications and Education
Good standard of general education, specifically GCSE/equivalent in English and Maths
