We are seeking a highly organised and detail-oriented Administrative Officer to join our Home Solutions Team. The ideal candidate will play a crucial role in ensuring the smooth operation of our Home Solutions service, providing essential client focused support to older people, and enhancing overall efficiency of the service. This position requires strong communication skills, proficiency in office software, and the ability to manage multiple tasks effectively.
Responsibilities
Support the Home Solutions Team Leader with any tasks as required
Answer any incoming calls from clients and respond to any queries
Respond to new referrals to the Home Solutions Service, arrange a home assessment, discuss clients needs, complete paperwork, decide on payment method, input details on to CarePlanner, Charity Log and Home Solutions spreadsheet.
Taking card payments over the phone and provide finance with required paperwork.
Prepare spreadsheet and invoices monthly for Home Solutions clients where appropriate and regularly check Standing Order Payments.
Monitor Soldo purchases for Home Solutions staff and collate receipts.
Support Home Solutions Team Leader with rota planning and diaries on a weekly basis.
Assist with the quarterly count of purchased stock items held
Undertake client assessments for the Toenail Cutting service, and book in repeat appointments for the service
Check the answerphone for messages and forward these on to whoever as required
Any other reasonable duties as agreed with the Home Solutions Team Leader, Deputy CO & CO
Skills
Strong organisational skills with the ability to prioritise tasks effectively.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential.
Excellent verbal and written communication skills; knowledge of Welsh is a plus.
Demonstrated customer service skills with a focus on client satisfaction.
Knowledge and/ or experience of using online databases and CRMS (Customer Relationship Management Systems
Ability to work independently as well as part of a team in a fast-paced environment.
The ability to travel around the counties of Flintshire and Wrexham independently.
Experience of working with older people.
