Job Description

SEALL is seeking an experienced and driven Administrative Support Officer who will collaborate with our Creative Director and wider team from our Broadford, Skye office. The role requires helping to maintain the smooth running of our office operation as well as support in the facilitating our busy performing arts calendar of events in venues across Skye, Raasay and Lochalsh via our annual programme, including our Feis an Eilein (Skye summer festival programme), Gaelic Programme, SEALL@Home Programme, Culture Collective work and our flagship Small Halls Festival in November.

The Admin Support Officer must have excellent organisational skills and be confident in the use of MS Office suite. The role will entail admin support to the team where needed, the upkeep of our SharePoint database, support in the application of licencing paperwork and the processing of invoices onto our accountancy software XERO (training can be provided). The post will be office based, and requires a personal ability to establish good, long lasting working relationships with the team, artists, external promoters, venue managers, community groups, accommodation and food providers and performers etc, delivering an excellent service from introduction to completion. The candidate will ideally have a firm grasp of value within the industry and will be aware of the associated pressures of working in the arts, in both a commercial and third sector capacity, though this is not essential.

Responsibilities



Maintain and update our shared drive and filing systems to ensure ease of access to all relevant paperwork. Assist the Creative Director in processing invoices onto XERO for payment. Assist the Creative Director, SEALL@Home/Gaelic Officer, Marketing Officer and Technical Team on programme, budget, administration, and marcomms to plan and coordinate events as part of a team effort. Assist in the booking of venues and obtaining relevant licencing documents. Research and book accommodation, hospitality, travel arrangements of performers and choose the best combination of quality, cost, and favourable terms. Assist the Creative Director in the preparation of reports to the board on a regular basis. Assist the Creative Director, where required, in the reporting and preparation of funding applications. Occasional onsite evening event support where required.

Knowledge



Educated to degree level or other professional qualification (Essential) Gaelic Speaker (Desirable) Knowledge of the UK cultural sector (Desirable)

Skills



Proficient in MS Office Suite (Essential) Experience of XERO or other accountancy software and previous experience collating and uploading invoices (Desirable) Excellent organisational skills (Essential) Excellent attention to detail (Essential) Proven ability to work as a member of a small team and on own initiative (Essential) Outstanding communication and negotiation ability (Essential) Able to manage deadlines, work under pressure and remain calm (Essential) Problem-solving ability (Essential)

Relevant professional experience of working in a busy office environment (Essential) Experience of working in the arts or cultural sector (Desirable)

Availability to work evening and weekends on occasion (Desirable)

Pay: 24,000.00 per year
