Reports to: Operations & HR Manager
As an Administration Officer at Thrive, you will be at the heart of our charity's daily operations, ensuring that our team and activities run smoothly and efficiently. This pivotal role is ideal for someone who works well in a dynamic environment, enjoys variety in their work, and is passionate about supporting a mission-driven charity. You will work closely with colleagues across all levels, providing essential administrative, HR and operational support, and contributing to the positive culture and success of Thrive.
You'll be helping us to:
Thrive Together
Provide comprehensive administrative support to ensure the smooth running of Thrive's operations.
Maintain office supplies and ensure the workplace is tidy, safe, and well-organised.
Provide admin support for fundraising activities, including mailouts, campaign logistics, and donor communications.
Support the leadership team in planning and delivering major operational projects and initiatives.
Contribute to the continuous improvement of administrative processes and systems.
Support project management activities, including tracking progress and coordinating tasks.
Support the management of Thrive's policy version control process, including liaising with relevant colleagues to ensure policies are researched and updated within indicated timeframes and that they are put into effect after Board approval and communicated internally.
Build Connections
Schedule and organise internal meetings and events (planned or ad hoc), such as our whole team meetings, end of year celebrations, training sessions, our annual convention etc, working closely with relevant colleagues, the leadership team and where necessary external vendors and providers (such as for venues or catering)
Handle incoming and outgoing communications via email, post, and telephone, acting as a first point of contact for enquiries.
Planning and delivery of events, including Town Halls, end-of-year celebrations, and the annual convention.
Liaise with external suppliers and partners as needed.
Provide administrative support to the Thrive Board, including arranging and minuting meetings as required.
Responsibility for the administration of Charity Commission and Companies House portals, including updating trustee records, registering new trustees and leavers, and ensuring that any other regulatory documents or digital systems are updated as necessary.
Assist the CEO with diary management, meeting bookings, and correspondence with internal and external stakeholders.
Enable Change
Assist in the preparation and drafting of reports, presentations, and documentation.
Manage charity data using CRM systems (including Beacon), ensuring accurate entry, updates, and reporting.
Manage and organise files, records, databases, and systems, ensuring accuracy and confidentiality.
Provide end-to-end support in Thrive's recruitment process in accordance with our recruitment guidelines, and coordinate onboarding of new colleagues in collaboration with the hiring leads, other relevant colleagues
Maintain and update HR records, assist with compliance checks, and support governance processes.
Co-ordinate the exit process for leavers, including ensuring that all appropriate closing actions are taken across the charity to ensure a positive experience for both the colleague and Thrive.
Undertake any other duties as required to support the effective running of Thrive.

Education, Qualifications & Training
Essential:
5 GCSE's or equivalent, to include English and Maths (A- C grade)
Desirable:
Administrative or PA Qualification
Knowledge, experience and skills
Essential:
Experience of working in an administrative role in a dynamic workplace.
Strong organisational skills and attention to detail.
Excellent communication skills, both written and verbal.
Demonstrate high IT literacy, able to work with Microsoft systems and other digital platforms.
Focussed on continuous professional development.
Ability to adapt and improve different processes and tasks.
Able to show initiative and work independently as well as part of a team.
