The primary purpose of this position is to provide administrative assistance to the Dean, Coordinators, Heads and Faculty in the day to day office operation of the department. In addition, this position is to assist in coordinating the overall administrative work of the department and the efficient and professional operation of the office.


Primary Functions:


  • Enter scheduled courses as well as payroll for part-time and full-time faculty (overloads) into data management system.

  • Process part-time and full-time faculty paperwork including new hire packets and contracts.

  • Enter all purchasing information into Workday. Follow up with purchases if necessary. And contact vendors for purchasing information or issues.

  • Respond to both internal and external phone calls, emails, and face to face inquiries.

  • Schedule all advising appointments with FT faculty during winter session and summer advising. Maintain advisees assigned to advisors.


Secondary Functions:

  • Assist faculty, students, public with questions or concerns regarding the Department, including assisting with student complaints, questions, and problems.

  • Communicate information to other staff and faculty and students as they relate to meetings, pay, courses, and other day to day office operations.


Hourly Range: $20.1867 - $21.5998

Minimum Qualifications:

  • High school diploma or general equivalency

  • 1-3 years of experience in a professional office environment.

  • Excellent organizational skills with strong attention to detail.

  • Experience using Workday.

  • Intermediate proficiency in MS Office, especially Word, Excel and Outlook.

  • Experience using a data management system such as Ellucian Colleague.

  • Ability to communicate effectively, verbally and in writing, with a diverse faculty and student population.

  • Ability to work effectively in a fast-paced office environment with constant interruptions.

  • Ability to multi-task and prioritize tasks with minimal supervision.

  • Maintain professional confidentiality; be aware of FERPA regulations.


Preferred Qualification:

  • Associate degree in business or office administration is preferred.


Additional Information: At this time, this position operates on a hybrid schedule, with an on-campus/in-office presence three days a week.
