Key Responsibilities



As an Administrative Assistant, you will play a crucial role in maintaining office operations and providing professional support. Your main duties will include:

Front-Line Communication:

Answering and directing phone calls, serving as the first point of contact for incoming queries. Confidently engaging with clients and colleagues, ensuring seamless communication.

Client Interaction:

Contacting current and prospective clients via phone, maintaining positive relationships and accurate records of interactions.

Correspondence & Documentation:

Producing, formatting, and distributing professional correspondence, reports, and emails.

File & Record Management:

Developing and maintaining an efficient filing system to ensure documents are organised and easily accessible.

Office Supply Coordination:

Monitoring office supplies, ensuring stock levels are maintained, and notifying management when replenishment is needed.

General Administrative Duties:

Supporting the team with any additional administrative tasks as deemed appropriate, contributing to the overall efficiency of the office.

Essential Skills & Qualifications



To excel in this role, you should possess the following:

Organisational Excellence:

Strong attention to detail and the ability to manage multiple tasks efficiently.

Effective Communication:

Professional and confident telephone manner, alongside excellent interpersonal skills.

Technical Proficiency:

Competence in Microsoft Office applications, including Word, Excel, and Outlook.

Self-Motivation & Teamwork:

Ability to work both independently and collaboratively within a team, demonstrating initiative and reliability.

Desirable Skills & Attributes



While not essential, the following qualities will be advantageous:

A high standard of written communication, including strong grammar and formatting skills. Prior experience in an administrative or customer service role. Familiarity with office management systems or other computer software.
