Job Summary



We are seeking a highly organised, discreet, and proactive Admin Assistant to support our Regional Property Manager (RPM). This role is pivotal in ensuring the smooth running of the RPM's workload and priorities. You will act as a trusted right hand--managing a complex diary, coordinating key communications and meetings, handling sensitive information with professionalism, and ensuring operational efficiency behind the scenes.

Key Responsibilities



Executive Support & Diary Management

- Manage all aspects of the RPM's calendar, including scheduling, prioritising, and resolving conflicts.

- Prepare the RPM's daily and weekly schedules, ensuring time aligns with strategic priorities.

- Coordinate internal and external meetings, ensuring agendas, pre-reads, and follow-up actions are in place.

Communication & Stakeholder Management



- Manage the RPM's inbox and correspondence, triaging requests and drafting responses.

- Act as a professional point of contact for senior leaders, partners, suppliers, and external stakeholders.

- Prepare letters, presentations, briefing notes, and updates in the RPM's voice and style.

Governance & Administrative Support



- Organise Board and leadership meetings, including logistics, papers, minutes, and action tracking.

- Maintain a clear and reliable system for tracking decisions, actions, and follow-up items.

- Support confidential HR and sensitive matters with absolute discretion.

Operational Coordination



- Coordinate multi-stop site visits, events, and operational days with contingency planning.

- Work closely with leadership team members to align schedules and unblock priority work.

- Support RPM-led initiatives such as events, strategic planning cycles, and internal communications.

- Maintain efficient administration systems (files, contacts, templates, and records), ensuring documents are correctly versioned and accessible.

Experience & Skills Required



Essential



- Excellent diary management, prioritisation, and gatekeeping skills.

- Strong written communication skills, including drafting emails, briefs, minutes, and presentations.

- High level of discretion and confidence handling sensitive or confidential information.

- Experience coordinating across teams and engaging with senior stakeholders.

- Strong digital capability (Microsoft Office, Google Workspace, video conferencing tools).

- Ability to remain calm under pressure with a solution-focused mindset.

Desirable



- Experience within housing, property, construction, public sector, or regulated environments.

- Familiarity with housing sector terminology, compliance processes, or resident/customer operations.

- Project coordination experience, including tracking actions, timelines, and risks.

Pay: 28,000.00-30,000.00 per year
