Job Description

We're looking for an organised and reliable Office Administrator to support the day to day operations of One Oak Construction.

This role works closely with procurement and office management, keeping our systems up to date, our information flowing, and the office running smoothly.

It suits someone who enjoys structure, takes pride in accuracy, and likes being the person who keeps everything on track.

Role overview:

Document control. Saving, updating and filing drawings, specifications and project information in the right place, making sure the team always has the latest version, and archiving older documents correctly. Office support. General admin including data entry, filing, photocopying, managing supplies, taking calls, greeting visitors and handling incoming mail and packages. Deliveries and logistics. Helping check off orders and deliveries so procurement has an accurate picture of materials and upcoming requirements. Weekly and monthly checks. Ensuring our operational checks are completed, logged and filed within our systems. Working with the office manager on day to day tasks such as booking. appointments, preparing site folders, chasing missing information, keeping compliance paperwork up to date and keeping the office organised. Supporting the procurement manager by updating order logs, preparing simple reports, filing delivery notes, organising supplier information and keeping purchasing records tidy. Assisting with basic bookkeeping tasks. Helping with travel arrangements or small projects when they come up.
What we're looking for:

Confident using Microsoft Suite, especially Word & Excel. Good phone manner and clear communication. Comfortable using computerised systems and keeping information organised. Strong attention to detail, good at multitasking and prioritising. Experience with Sage Cloud or similar accounting software is helpful. Previous experience in an administrative or office support role is preferred, but the right attitude matters most.
