We are seeking an organised, proactive and customer-focused
Administrative Assistant
to join our busy, dynamic
Property Management and Lettings office.
This is an excellent opportunity for someone who enjoys working in a fast-paced environment and has a strong interest in property, customer service and office administration.
Key Responsibilities
Acting as the first point of contact for tenant and landlord enquiries (phone, email and in-person)
Managing diaries, booking viewings, inspections and contractor appointments
Preparing tenancy documents, referencing packs, move-in/move-out paperwork and compliance files
Uploading and maintaining property listings on portals (Rightmove, Zoopla etc.) and internal systems
Updating databases and ensuring all compliance certificates (Gas Safety, EICR, EPC) are current
Assisting with rent collection reminders and basic property management admin
Liaising with contractors, arranging repairs and tracking progress
Filing, scanning, organising documents and general office support
Supporting the Lettings Negotiators and Property Managers with ad-hoc tasks
Manage incoming calls with professionalism and courtesy, directing enquiries as appropriate
Organise and maintain filing systems, both physical and digital, ensuring easy retrieval of information
Perform data entry tasks accurately using CRM's, Microsoft Office, Google Workspace and Payment/invoicing systems.
Maintain office supplies inventory and place orders when necessary
Collaborate with team members to improve office procedures and workflows
Requirements
Skills & Experience
Previous admin or property experience is
advantageous
but not essential
Strong communication skills and confident telephone manner
Excellent attention to detail and ability to multitask
Good IT skills (Microsoft Office & basic CRM understanding)
Ability to work independently and as part of a team in a fast paced environment
Excellent organisational skills with the ability to prioritise tasks effectively
Positive, professional attitude with a willingness to learn
Good typing speed and data entry accuracy
Attention to detail and high level of organisation are essential for success in this role
