Key Accountabilities
General
Operate general and complex office equipment, manual and computerised record/information systems.
Daily use of general IT; eg. Word, Excel, SIMS, Reach More Parents (WeDuc), Google Suite (including forms and drive) and the Internet.
Contribute to the planning, development and organisation of support service systems/procedures/policies.
Assist in administering First Aid to children and adults.
Monitor the Admin Inbox during term time alongside Admin Assistant
Manage the schools email inbox during the school holidays
Finance Support
Raising orders and commitments for stock and services using FMS
Processing orders, invoices, credit notes and local income.
Writing and issuing cheques or equivalent electronic processes
Checking and following up all outstanding orders.
Reviewing unauthorised invoices and ensure all cheques have been raised.
Banking cash income.
Processing income paid directly into the bank account eg. childcare vouchers, ParentPay payments and Direct Debit claims.
Raising invoices on behalf of the school for related services and ensure timely receipt.
Overseeing stationery levels and reordering as required and monitoring stationery budget to ensure spending is in line with the budget
Assisting the School Business Manager to maintain and update the asset register and other actions that may be required for auditing purposes
Liaising with the Treasurer of the Governors Development Fund, ensuring communication with parents through WeDuc.
Monitor queries and emails in Finance Inbox and liaise with School Business Manager where appropriate
Supporting the Head Teacher
Along with other office staff, acting as one of the points of contact for the Head Teacher; taking calls and messages when they are unavailable.
Maintaining the school calendar; Red Scarf rota; school holidays/INSETs;, Reception Class home/nursery visits, etc.
Keeping the Head Teacher informed at all times about the calendar commitments and deadlines for completion of work.
Occasional requirement to send communications on behalf of the Head Teacher outside of school hours.
Undertaking general and complex admin tasks as required by the Head Teacher; including researching information to inform decisions.
Assisting in the preparation of Inset days.
Attending occasional 'out of hours' events.
Supporting the Chair of Governors with communication, including occasional correspondence and note-taking.
Arrange refreshments for meetings held in school, eg Governor meetings.
Pupil Admissions
Have a thorough understanding of the school's admission policy.
Prepare admission paperwork to present to the Admissions Panel, meeting strict deadlines.
Give accurate complex advice and information to the Admissions Panel and prospective parents/carers.
Attend Admissions Panel meetings to take accurate minutes; produce in a timely manner.
Administer the admission process for all new pupils.
Share New Starters Medical Information with the School Business Manager
Analyse and evaluate data/information and produce reports/information/data as required.
Complete and submit complex forms, returns etc., including those to outside agencies.
Use tact and compassion to communicate with prospective parents/carers, consistently portraying the school's ethos.
Support the Admissions Panel with appeals; eg prepare accurate information and take minutes.
Manage School Waiting list, ensuring empty places are filled
Ensure receipt of in year admissions information and share with the appropriate members of staff.
Ensuring Common Transfer Files s are received for new pupils and sent to next school for school leavers
HR Administration
Booking Supply Staff and Training as Required
Managing the Single Central Record for the school, ensuring all new starters, leavers, volunteers and contractor movements are marked and monitored accurately.
Administering DBS checks effectively to ensure compliance with the safeguarding and recruitment policies.
Monitoring of upcoming DBS renewals and providing budget data to School Business Manager
Any additional HR Support as required.
