Job Description


Our esteemed client, a prominent organisation operating across the UK, Qatar, and Dubai, is in search of a detail-oriented and organised individual to assume the role of Administrative Assistant experienced preferably with a background in Real Estate & Construction. The selected candidate will be responsible for providing support in the day-to-day operations of the client\'s team. The ideal candidate is expected to be a self-starter with excellent communication and organisational skills, comfortable with remote work.

Main Responsibilities:

  • Perform administrative and clerical duties to assist various teams simultaneously.
  • Answer and direct phone calls, taking messages as needed.
  • Respond to emails and correspondence promptly.
  • Organize and maintain digital files and records.
  • Act as a point of contact for vendors, subcontractors, etc., and solicit quotes from them for new jobs.
  • Coordinate meeting logistics and deliverables, such as handouts, and make travel arrangements for the project management team.
  • Assist with real estate operational ad hoc tasks, including but not limited to drafting and editing documents such as reports, checklists, agreements, offer letters, proposals, property listings, and light presentations.
  • Assist with basic project management tasks, including research and coordination; payments follow-ups, project statements reports, etc.
  • Assist with the planning, budgeting, and coordination of construction projects, along with the necessary administrative duties associated with each contract.
  • Ensure that the necessary materials are delivered to the work site/s, dealing with paperwork, and budgeting appropriately for each project.
  • Handle the clerical and logistical duties associated with the projects.
  • Carefully review time submissions and alert department heads to inconsistencies or discrepancies in time reporting.
  • Monitor the number of hours of labour a construction project is using and the rates of the different workers at the site.
  • Collect worker-related data, enter them into a spreadsheet, and pass your data along to the in-house admin department.
  • Perform other related duties as assigned.

Requirements
