ROLE OVERVIEW:

This varied, hands-on role is ideal for someone who is highly organised, adaptable, and comfortable working in a dynamic environment. You will provide day-to-day administrative and clerical support for a craft distillery, working closely with the Administrator and a small team across production, sales, and retail. The role also includes daily retail shop cover during staff lunch breaks (30 minutes).

WORKING HOURS & LOCATION:

Part-time: 3 hours per weekday

Location: On-site at the distillery (this is not a remote role)

Shropshire Hills Distillery (trading as Ludlow Distillery) is an independent, family-run business producing award-winning craft gin and whisky. We are a small, friendly team who take pride in everything we do--from distilling and bottling to serving customers with warmth and professionalism. PRINCIPAL RESPONSIBILITIES:

1. Admin & Finance

Manage all incoming communications (phone, email, social media) and respond or escalate as needed, maintaining excellent customer and supplier relations.

Provide administrative support to the Administrator and Managing Director.

Maintain both paper and digital filing systems (e.g., scanning delivery notes).

Order and monitor office supplies and minor equipment.

Assist with periodic stock takes.

2. Dispatch of Goods

Process and fulfil online orders, organising dispatch via courier.

Handle customer queries, complaints, and returns.

Print delivery notes for trade drivers.

Maintain relevant databases, including Mailchimp.

3. Event Support

Assist with the coordination of occasional events: managing diaries, appointments, stock and staff rotas.

4. General Support

Provide retail shop cover during staff lunch breaks (30 mins/day).

Carry out other reasonable tasks as required to ensure smooth daily operations.

REQUIRED SKILLS & EXPERIENCE

Essential (E):

Strong organisational skills and ability to work independently

Accurate record-keeping (digital and physical)

Adaptable communication skills across platforms and situations

Excellent written and verbal communication

Positive, team-oriented attitude with a customer-first mindset

Physically able to lift up to 10kg occasionally

Non-smoker (smoking/naked flame prohibited on-site)

Desirable (D):

Intermediate Microsoft Excel (e.g., LOOKUP, SUMIF, COUNTA functions)

Experience with QuickBooks or similar accounting software

Experience using CRM or mass mailing tools (e.g., Mailchimp, Hubspot)

Experience (E):

Previous experience in a similar administrative role within a small business

Demonstrated ability to manage and prioritise tasks

Confident drafting of professional correspondence

Experience dealing with customers in person, by phone, and via email

Job Type: Part-time

Pay: 12.20 per hour

Expected hours: 15 per week
