Job Title: Administrative Assistant
Hours: 16 Hours | 2 Days | Per week
Work Pattern: 9am - 5pm
Type: Temp Ongoing
Location: Kent - ME9 8GU
Start date: ASAP

The candidate will be working on the Cash Book Team and helping with all administrative tasks. The main responsibilities would be to manage the cheques that come through the post. Liaise with other offices to determine the appropriate account they need banking in, completing the coding document as well as preparing all the paperwork to bank the cheques.

Managing the post into Cash Book and including filing and ensuring it goes to the correct person.

Job Role -

  • Cheque Management: Receive and process cheques that come through the post. Verify the accuracy of the cheques and ensure they are properly coded for banking.
  • Coding Document Completion: Complete coding documents, ensuring that all relevant information is accurately recorded. This may involve categorising transactions, assigning appropriate account codes, and maintaining consistency in documentation.
  • Preparation of Banking Paperwork: Prepare all necessary paperwork required to bank the cheques. This includes completing deposit slips, organising supporting documents, and ensuring compliance with banking procedures.
  • Post Management: Manage incoming post related to cash book activities. Sort and distribute incoming mail to the appropriate individuals within the team or department.
  • Filing and Organisation: Maintain a systematic filing system for cash book-related documents. Ensure all paperwork is filed correctly and easily retrievable for future reference.
  • Post Routing: Ensure that post and correspondence related to cash book activities are forwarded to the appropriate person or department. Take necessary actions to ensure timely responses and resolution of queries.
  • Record-Keeping: Maintain accurate and up-to-date records of all cash book-related transactions, correspondence, and documents. This may involve updating electronic databases or spreadsheets.
  • Collaboration: Collaborate with team members and other departments to support the overall efficiency and effectiveness of cash book operations. Assist colleagues as needed and contribute to a positive work environment.
  • Compliance and Confidentiality: Adhere to relevant policies, procedures, and regulations related to cash book operations. Handle sensitive and confidential information with the utmost discretion and maintain data security.
Candidate Requirements -
  • Strong Organisational Skills: Ability to effectively manage multiple tasks, prioritise responsibilities, and meet deadlines in a fast-paced environment.
  • Attention to Detail: Demonstrated accuracy and precision in handling financial transactions, coding documents, and preparing banking paperwork to ensure error-free processing.
  • Communication Skills: Excellent written and verbal communication skills to liaise with other offices, collaborate with team members, and provide clear and concise information to stakeholders.
  • Confidentiality: Understanding of the importance of maintaining confidentiality when handling financial information, sensitive documents, and correspondence.
  • Problem-Solving Abilities: Capability to identify issues, propose solutions, and exercise sound judgement when making decisions within the scope of the role.
