Main purpose of job


We are seeking a proactive and highly organised Admin Assistant to support our Executive Assistant to the CEO and Group Executive Team. This is an excellent opportunity for a confident and capable graduate with strong organisational skills to develop a career in high-level administrative support within a fast-paced group environment.
You'll play a key role in ensuring the smooth day-to-day functioning of the EA's workload, managing a wide range of administrative responsibilities with professionalism, discretion, and attention to detail. The role will be based in London with hybrid working, but the ability to travel regularly into Central London is essential.

Key Responsibilities





Provide administrative and organisational support to the Executive Assistant, including diary management for members of the ELT, travel arrangements, meeting coordination, and follow-up actions Draft and format documents, reports, presentations, and internal communications to a high standard Manage document filing and version control, ensuring sensitive information is handled with appropriate confidentiality Coordinate logistics for meetings and events, including room bookings, agendas, catering, and attendee communications Support the planning and execution of team activities, senior leadership offsites, and stakeholder meetings Assist in managing incoming communications, prioritising effectively and flagging urgent matters Carry out research tasks, prepare briefing notes, and support key projects as directed by the EA Provide occasional cover and support for other executive-level admin tasks when required Maintain accurate and timely administrative records and processes, ensuring clarity and consistency Build strong working relationships with stakeholders across the group, acting as a professional and approachable first point of contact


Skills, Knowledge and Expertise





Degree educated (or equivalent level of academic achievement) Previous experience in an administrative, team assistant, or coordination role desirable but not essential Highly organised, methodical, and able to prioritise tasks with minimal supervision Strong written and verbal communication skills, with attention to detail and professional tone Confident, discreet, and calm under pressure when managing competing deadlines Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and able to quickly adapt to new systems A proactive mindset with a willingness to learn and take initiative Ability to work with discretion, integrity, and a high level of confidentiality Comfortable working in a hybrid environment with regular travel to Central London required
