We are seeking a detail-oriented and organised Administrative Assistant/ Bookkeeper to join our team. This role is essential in supporting our financial operations by maintaining accurate financial records and assisting with various bookkeeping tasks. The ideal candidate will possess strong clerical skills, proficiency in QuickBooks, and a solid understanding of office administration.
Duties
Processing quotations & Invoices to send to customers
Credit Control
Regular Bank Reconciliations
Month-end processes, including Bank Reconciliations & customers invoicing
Processing cash payments
Liaising with the external accountant & bookkeeper who prepares management Accounts
Working with the Managing Director to improve processes and internal controls.
Check remittances and chase customers for payment
Supporting the customer service team in dealing with customer enquiries, hire/sale orders & contracts
Answering incoming calls & emails
Working closely with other team members, providing cover for colleagues during their absence
Making sure the timesheets are returned on time.
Any other duties to assist with the day-to-day running of the office
Requirements
Proven experience in a clerical or administrative role, preferably within a bookkeeping or accounting environment.
Proficiency in QuickBooks is essential for managing financial records effectively.
Strong organisational skills with the ability to manage multiple tasks simultaneously.
Excellent data entry skills with a keen eye for detail to ensure accuracy in all financial documentation.
Familiarity with Google Suite applications (Docs, Sheets, etc.) for efficient office management.
Strong communication skills, both written and verbal, to maintain professional interactions with clients and colleagues.
Ability to work independently as well as part of a team in a fast-paced environment
Requirements
Strong bookkeeping / Finance background.
Good credit control experience
Computer Literate & Good Microsoft Excel skills are essential
Admin experience
Fast and efficient, with strong typing skills

Education:
At least 1 year of bookkeeping or accounting experience in the UK.
AAT qualification (or equivalent experience).
Strong knowledge of UK accounting principles, VAT, and financial regulations.
Experience using accounting software.
