Job Description


Administrative Officer required for the Northern Ireland Housing Executive.

Location: Belfast City Centre, Adelaide Street

Hours: 37 hours p/w

Pay rate: \xc2\xa310.98 p/h

Duration: 4 months initially- possible extension

JOB SUMMARY:

Posts in the Level 3 grade required staff to undertake a variety of duties ranging from supervision and training to advice and guidance for the public. In each of the functions interpretative and discretionary skills play a significant part, although it is stressed that these skills are brought to bear within written or verbal parameters and policies set by the organisation. For industrial staff the work requires competence, co-ordination, and craftsmanship with a demand for both precision and speed or considerable demand for precision

KEY DUTIES:

  • Provide timely & accurate admin support to delivery of the team\'s business objectives
  • Ensure data and reports are formatted correctly, to high standards of presentation using word, power point, excel and other IT software as required
  • Proofread reports and other material to check they are written to excellent standards of English grammar and spelling
  • Support administration of Divisional risk management and business planning
  • Maintain records and reporting systems in relation to GDPR and related tasks.
  • Provide admin support to the management of the teamwork plan including highlighting key milestones and cyclical activities and deadlines in a timely manner
  • Respond to queries about data, performance and other records managed by the team.
  • Assist the team to manage audits and other governance activities as may be necessary as directed
  • Input data to various IT systems as directed checking for accuracy and to the required deadline
  • Help monitor and manage the Governance team inbox
  • Provide administrative and co-ordination support to divisional activities, meetings, and forums
  • Organise the practical arrangements for events as directed including distribution of papers, catering, and processing payments in line with policy
  • Contribute to ad hoc governance and business improvement reviews.
ESSENTIAL CRITERIA
  • Have a minimum of five GSCEs grades A to C (including English & Maths) or equivalent
AND
  • Have a minimum of 1 year\'s relevant experience showing clear evidence of excellent written and communication skills to meet the needs of the post, specifically:
  • Excellent standards of grammar and spelling in the English language
  • Experience in the effective use of Microsoft Office IT applications to intermediate level and other systems.
  • Ability to read and readily comprehend formal reports such as corporate plans and annual reports
