Administrative Support Assistant





Location: This post is based at Link's Falkirk office, at least one day per week and hybrid working from home on other days.



Fixed term for 12 months to provide cover for maternity leave.



30 hours per week, Monday to Friday. Alternative working patterns and/or working arrangements will be considered.

The Role

This postholder will be responsible for the delivery of project support to the Digital Project Management Team within Link Group's Digital Services department. The role will be proactive in coordinating the administration functions of the Digital Transformation team's wide project portfolio.



It is an exciting time to join the team with lots of business change activity planned for the year ahead such as developing new approaches to business insight reporting and implementing replacement systems and applications.



The Administrative Support Assistant will support the Digital Delivery and Transformation Manager and Senior Project Manager by organising and supporting the wide range of meetings, workshops, technical demonstrations and change management activities the team conduct.



The successful candidate will undertake routine administrative duties such as diary management, meeting organisation, agenda prep, notes, recordings and transcription management as well as wider project related tasks such as completion of risk and action logs, updating plans, communications coordination and sharepoint site management.



A knowledge of PRINCE2 or any other project methodology would be beneficial, although training and support will be provided.

About You





Are you an accomplished admin professional who excels in Office 365 and streamlining tasks collaboratively? We're looking for you!



As the perfect fit, you're a seasoned pro with Microsoft Office 365, particularly Outlook, Word, and Excel. You're also well-versed in SharePoint, Teams, Lists, Planner, and OneNote, using them to boost productivity. A knowledge of Co Pilot and AI would also be favourable. Your expertise shines in routine admin tasks, managing diaries in Outlook and orchestrating online meetings.



You excel in document control using SharePoint, seamlessly coordinating meeting paperwork. Organising is your forte, providing crucial support to busy project teams, preparing for upcoming tasks and events.



Communication is your strength. Working solo or in teams, your time management and coordination skills stand out, always meeting deadlines. Your proactive, professional approach and conflict resolution abilities make you reliable. If you're a self-starter who thrives both remotely and in teams, join us.
