We are seeking a dedicated and organised Administrator to join our team. The successful candidate will be responsible for providing efficient administrative support to ensure the smooth operation of our office. The Administrator will play a key part in maintaining effective communication, managing data, and supporting various organisational tasks. You'll support multiple departments across the business, providing vital administrative and operational support to ensure everything runs efficiently.
Key Responsibilities
General Administration
Manage daily administrative tasks to support smooth office operations.
Handle incoming calls and emails with professionalism, directing queries or taking accurate messages.
Greet visitors to the premises, ensuring a friendly and professional first impression.
Maintain accurate and organised filing systems -- both digital and paper-based.
Prepare correspondence, documents, reports, and meeting notes as required.
Schedule meetings, appointments, and manage calendars for management and team members.
Support HR with document preparation, new starter packs, and maintaining employee records.
Assist with data entry, database updates, and document control.
Monitor and order office supplies, ensuring cost efficiency and stock availability.
Procurement & Stores
Support the Procurement Administrator with obtaining quotations, raising purchase orders, and receipting goods.
Maintain supplier relationships to achieve the best pricing and lead times.
Learn the company's products and materials, maintaining an accurate supplier and parts register.
Record and investigate supplier non-conformities when required.
Monitor and manage stock levels to ensure stores are well organised and maintained.
Operational Support
Assist the Managing Director, Finance Director, HR, and HSE with administrative and project-related tasks.
Coordinate employee training sessions, booking courses, maintaining training records, and tracking renewals.
Organise travel, accommodation, and logistics for company personnel.
Support internal communication by circulating memos, notices, and updates.
Maintain and update company databases, registers, and compliance documents.
Ensure adherence to company policies, procedures, and data protection standards.
Skills & Attributes
Strong organisational skills with the ability to prioritise and multitask effectively.
Excellent written and verbal communication skills.
Confident in Microsoft Office (Word, Excel, Outlook).
Professional, friendly, and approachable manner.
A proactive attitude with a willingness to learn and take initiative.
Previous experience in an administrative role is preferred, ideally within an engineering or manufacturing environment.
Qualifications
HNC/HND in Business Administration or similar
Proven office experience or administrative experience in a similar role
Strong computer skills with proficiency in Microsoft Office (Word, Excel, PowerPoint)
Excellent organisational skills with the ability to prioritise tasks effectively
Good typing speed and accuracy for data entry purposes
Demonstrated ability to communicate professionally via phone and email
Attention to detail and strong organisational skills to manage multiple responsibilities simultaneously
Familiarity with clerical procedures and office management systems
