We are currently recruiting for two exciting administrative roles in our Training Department:
Scheduling Administrator
Training Bookings Administrator
Both positions play a key role in ensuring the smooth, efficient delivery of our training services. Whether it's coordinating resources and schedules, course bookings, or keeping learners and stakeholders informed, your work will help ensure a high-quality training experience from start to finish.
Location:
Our head office will be relocating to Banbury Business Park in January 2026. To support colleagues during this transition, we are offering a monthly travel contribution until December 2025.
Working hours:
Monday to Friday, 08:30 to 16:30 (35 hours per week)

Scheduling Administrator
As our Scheduling Administrator, you will provide essential scheduling and administrative support to the Scheduling Lead. You'll help coordinate venues, trainers, learners, and exam providers to ensure seamless training delivery and excellent customer service.
Key Responsibilities
Support coordination of venues, accommodation, trainers, and learners
Administer the CFPA Europe Diploma process
Reconcile supplier invoices and raise purchase orders
Handle customer and learner enquiries, including bookings and exams
Prepare and track quotations for training services
Record attendance and follow up on non-attendees
Maintain customer records in the CRM and support internal processes
Provide ad hoc support to the Training team and managers
Key Competencies/Behaviours
Strong organisational skills and attention to detail
Ability to prioritise competing demands and work flexibly
Confident in customer communication and administration
Financially astute with good record-keeping habits
Collaborative and team-oriented attitude
Education & Experience
Essential
GCSEs A-C in Maths and English
2+ years in customer service or admin roles
Proficient in Microsoft Office and use of bespoke databases
Familiarity with financial processes and tracking
Desirable
Experience generating quotations for bespoke services
Training Bookings Administrator
As our Training Bookings Administrator, you will manage the end-to-end process of training course bookings. From customer enquiries to invoicing, you'll ensure every touchpoint is handled efficiently and professionally.
Key Responsibilities
Process course booking forms and purchase orders
Monitor and convert waiting list bookings
Maintain accurate course listings on the website
Provide weekly reporting on bookings and financial pipelines
Create and update job sheets and liaise with trainers
Manage and update automated course communications
Raise invoices and process payments
Champion the use of our CRM and LMS systems
Manage the training inbox with timely responses
Key Competencies/Behaviours
Excellent organisational and time management skills
High attention to detail and accuracy
Strong customer service and communication
Proactive and able to handle competing priorities
Skilled in Microsoft Office and database systems
Education & Experience
Essential
GCSEs A-C (or equivalent) in Maths and English
Minimum 2 years in administrative or customer-facing roles
Proficient IT skills
Desirable
Experience with CRM/LMS systems
Basic accounting knowledge
Experience in event or training bookings
