Academic Families is a dynamic, leading international education agency - British Council, AEGIS and Boarding Schools' Association accredited. We provide guardianship care for our international students who are full time students at boarding schools. They have holidays from school when they either travel home, their parents join them in the UK or we match them with suitable local host families for friendship and cultural exchange.
We are expanding and are recruiting staff to join our existing team managing our Guardianship programme caring for international students studying in UK boarding schools.
We want to appoint a dedicated team member to join our UK guardianship programme, based in Edinburgh. Guardianship Administrator Role
You will uphold Academic Families' commitment to safeguarding and promoting the welfare of children and young people. To represent Academic Families, you will be required to -
Manage travel transfers for our international students attending boarding schools throughout the UK
Match students with hosts and manage short term visits as required
Liaise with overseas agents /3rd party guardians, UK transfer providers (taxis and airport assistance partners), UK host families and develop relationships with key boarding school staff
Maintain accurate records for each student, host and school contact on the Academic Families guardianship management database - we love our IT system and the efficiencies it brings us
Visit students at boarding schools and host families
Emergency support - you will be required to cover emergency mobile support on a rota basis - probably 1 in 4 weekends during term.
Apply all Academic Families procedures and processes and promote Academic Families at all opportunities.
There are three terms in each school year which runs from September to early July. Key travel days include the start and end of term, start and end of half term, and occasional 'exeat' weekends once or twice per term.
This role is part of our guardianship team and mutual support and teamwork are a given. We are a small and professional team who love coming to work each day!
This is an office-based role in our Edinburgh Head Office.

Key Responsibilities & Tasks
You will be required to manage the out-of-school logistics support for international students attending boarding schools throughout the UK. We are a Safer Recruiter so safeguarding is our priority.
maintain child protections standards, ensure the safety and well-being of all your assigned students at all times
confirm your students' school holidays requirements in good time to successfully plan and manage their arrangements
manage all transfers and host accommodation as required and ensure they go to plan
match students and hosts where a short term visit is required during school holidays
occasionally drive in your car to visit students and hosts
keep up-to-date with international travel requirements eg visas and health
ensure all arrangements are confirmed in good time to students, schools, 3rd party guardians/agents and transfer providers.
apply all Academic Families procedures and processes and maintain comprehensive records on our Guardianship management system
manage school information and forward relevant information to 3rd party guardians/agents
ad hoc office admin responsibilities

Hours
This is a full-time role - 37.5 hours per week. Work hours are 9am - 5pm with 30 minutes for lunch, Monday to Friday but may vary and flexibility may be required at busy times. You will be required to work occasional duty weekends which are paid in addition to your salary. It is anticipated to be busier during term time and quieter during school holidays. Holiday entitlement is 31 days pa.
Development
You will considered to join some of our exciting half term trips - UK and overseas - as a leader.
There will be opportunity to develop into business development in some of our key Spanish speaking markets.
