Oversee and maintain the administrative and IT systems within the Home.

SERVICE PROVISION
1. Support the provision of advice and guidance to residents, their families and staff to ensure that the service is delivered to a high standard.
2. Deal with enquires from new and existing residents and their families and provide information about the home.
ADMINISTRATION
1. Manage the day to day administration of the home.
2. Liaise with the manager, key staff in the home and at head office to ensure procedures operate effectively and in a timely manner.
3. Process invoicing and Payroll on a monthly basis.
BUSINESS DEVELOPMENT
1. Assist the manager with the implementation of business development, the planning of marketing, the analysis of management information and with organising public relations activities.
2. General maintenance of homes Statement of Purpose and Brochure.
3. Support the activities coordinator in the production of a monthly newsletter.
FINANCIAL RESPONSIBILITIES
1. Collect and administer resident monies and petty cash.
2. Provide finance department with documentation as required.
MONITORING & QUALITY
1. Ensure administrative compliance for the manager with all regulatory requirements.
2. Collate and analyse all quality satisfaction data and assist in the development and implementation of an action plan to address any shortfalls raised as requested.
3. Ensure that the home's administrative procedures comply with data protection legislation and the organisation's policies and procedures relating to confidentiality.
4. Support the home to achieve and maintain best practice in relation to service provision.
TRAINING & DEVELOPMENT
1. Undergo appropriate training and development as required by the manager.
2. Maintain staff training files and the training matrix-assisting the manager with the homes training plan.
HEALTH & SAFETY
1. To become familiar with all policies and their practical implementation with regard to Health and Safety, including accident reporting and fire procedures.
2. To undertake essential training as required.
3. To assist the manager and/or key staff in undertaking periodic risk assessments of the workplace.
WORKING PRACTICES/GENERAL
1. To be aware of and implement Brookvale Healthcare's policies and procedures.
2. Any other duties that may reasonably fall within the remit of the job.
