We are seeking a detail-oriented and dependable Administrator to provide essential administrative support to our advisers and paraplanners. We're looking for someone who is efficient, proactive and who is comfortable managing a varied workload. This role is key to ensuring the smooth day-to-day running of client processes, from initial contact through to implementation and ongoing servicing.
Key Responsibilities:
Handle client communications (email, telephone, post) in a professional and courteous manner
Maintain accurate client records and ensure systems are kept up to date
Liaise with product providers and other third parties to obtain policy information and valuations
Organise and manage client review documentation and appointment preparation
Support advisers and paraplanners with general administrative tasks, including diary management and data entry
Prepare and process applications across a range of financial products
Monitor and follow up on outstanding business to ensure timely completion
Collaborate with team members to streamline office procedures and improve efficiency
Assist with clerical duties such as filing, photocopying, and scanning documents
Maintain an organised filing system for both physical and digital documents
Essential Skills and Attributes:
Previous experience in a financial services administration role and/or in developing client relationships
Strong organizational and time management skills
Self-starter and fast learner with business and technical acumen
Excellent attention to detail and accuracy
Ability to manage multiple workflows at a time and effectively prioritise time sensitive items
Confident communicator - written and verbal
Working knowledge of Excel, Word
Desirable (but not essential):
Familiarity with financial planning software
Basic understanding of financial products such as pensions, investments, ISAs, and protection policies
Working toward or interest in industry qualifications
