Primary Care Workforce Academy



The Primary Care Workforce Academy (PCWA) is a national organisation focused on the development, education, and support of the primary care workforce. Our mission is to build a resilient and future-ready workforce by providing high-quality training, tailored support, and strategic workforce development solutions across general practice and wider primary care settings.

Our offer includes CPD-accredited e-learning and trainer-led courses, practice-based support programmes, leadership and business development opportunities, and system-wide engagement initiatives - all designed to strengthen recruitment, retention, capability and morale in primary care.

As part of this work, PCWA leads the South East London Workforce Development Hub (SEL WDH) - the regional training hub for South East London. SEL WDH works collaboratively with six borough-level hubs, supporting over 200 GP practices and 36 Primary Care Networks to deliver education, training, and workforce development across the region.

Job Summary



It is an exciting time to join the Primary Care Workforce Academy (PCWA) - a newly established organisation dedicated to supporting, developing, and championing the primary care workforce. As the Academy expands its reach and impact, we are seeking a proactive and organised Administrator to support the efficient operation of the PCWA. The successful candidate will play a pivotal role in coordinating training programs, managing communications, and ensuring the smooth running of administrative processes. This position offers an opportunity to contribute to the development of a skilled and resilient primary care workforce.

This role will include working alongside and assisting the training hub team with day-to-day support and administration of protected learning time events, forums and other training hub activities including minute taking, processing course evaluation and distribution of certificates as well as more technical aspects such as providing basic IT assistance for the delivery of virtual and in-person training events.

Duties and Responsibilities



Administrative Support: Provide comprehensive administrative assistance to the PCWA team, including scheduling training, meetings, preparing agendas, and taking minutes.

Program Coordination: Assist in the organisation and delivery of training programs and events, including booking venues, managing registrations, and preparing materials.

Communication Management: Act as a point of contact for internal and external stakeholders, responding to inquiries and disseminating information effectively.

Data Management: Maintain accurate records of training activities, participant attendance, and feedback. Ensure compliance with data protection regulations.

Resource Management: Monitor and order training materials as needed.

Continuous Improvement: Contribute to the development and refinement of administrative processes to enhance efficiency and effectiveness.

Confidentiality / Data Protection / Freedom of Information



Post holders must maintain the confidentiality of information about staff and other health service business in accordance with the Data Protection Act of 1998. Post holders must not, without prior permission, disclose any information regarding workforce or staff. If any member of staff has communicated any such information to an unauthorised person those staff will be liable to dismissal. Moreover, the Data Protection Act 1998 also renders an individual liable for prosecution in the event of unauthorised disclosure of information. Following the Freedom of Information Act (FOI) 2005, post holders must apply the PCWA's FOI procedure if they receive a written request for information.

Health and Safety

Risk Management



All post holders have a responsibility to report risks such as clinical and non-clinical accidents or incidents promptly. They are expected to be familiar with the Trust's use of risk assessments to predict and control risk, as well as the incident reporting system for learning from mistakes and near misses in order to improve services. Post holders must also attend training identified by their manager, or stated by the Trust to be mandatory.

Smoking Policy



It is the Trust's policy to promote health. Smoking, therefore, is actively discouraged. It is illegal within Trust buildings and vehicles.

Essential Criteria



Education And Qualification



GCSEs in English and Mathematics (Grade C/4 or above) or equivalent qualifications.

Experience



Previous experience in an administrative role, preferably within a healthcare or educational setting.

Skills



Computer literacy skills including knowledge of Word, Excel and Outlook

Excellent communication skills, both verbal and written

Excellent organisational and time management skills

Good interpersonal skills

Enthusiasm to make things happen

Attention to detail and accuracy in data management

Abilities



Ability to competently navigate IT software systems

Ability to communicate effectively with staff at all levels

Desirable Criteria



Education And Qualification



NVQ Level 3 in Business Administration or equivalent.

Experience



Familiarity within primary care/NHS administration.

Knowledge of event management and coordination.

Job Types: Full-time, Fixed term contract

Pay: 25,350.00 per year
