Role: Administrator (Engineering Team)

Hours: 37.5 hours Monday - Friday 9am-5pm.

Location: Burgess Hill. In office role only

Clearwell Mobility is seeking a highly organised and proactive

Administrator

to provide comprehensive support to our busy engineering team. This role is central to the smooth operation of our engineering services, ensuring everything from technical documentation to customer communication is handled with efficiency and care.

Key Responsibilities:



Administrative Support & Documentation:



Generate invoices for engineering services, including Motability servicing. Process payments and ensure accurate financial records for engineering activities. Maintain engineering documentation and safety files for each manufacturer. Update and manage procedures and documentation changes within the department. Ensure all project and technical documents are up-to-date, accurate, and accessible.

Engineering & Operational Support:



Identify Motability clients needing servicing and coordinate appointments. Organise the return of warranty parts and follow up on manufacturer credits. Manage the servicing schedule for hire equipment and pre-owned stock. Liaise with warehouse and technicians to oversee repairs and product returns. Write to customers annually about upcoming service needs for their equipment.

Procurement & Inventory:



Purchase consumables, tools, uniforms, batteries, tyres, and tubes as needed. Work alongside the Purchasing team to ensure stock availability and accuracy. Track and organise equipment needed for engineers' day-to-day tasks.

Data Entry & Compliance:



Maintain engineering systems and databases with accurate and up-to-date information. Ensure all processes comply with internal policies and external regulatory standards. Manage approved signatory processes in line with company guidelines.

What We're Looking For:



The ideal candidate will have:

Proven experience in an administrative or support role--engineering or technical environment preferred. Strong organisational and multitasking skills. Excellent communication, both written and verbal. Proficiency in Microsoft Office (Excel, Word, PowerPoint). High attention to detail and a proactive, problem-solving mindset. Ability to work independently and collaboratively in a fast-paced setting. Familiarity with engineering terminology or technical documentation (a plus).
