The administrative team is crucial in monitoring financial records and supporting Trust Officers and managers through effective file management. As a member of this team, the Administrator will be responsible for developing, maintaining, and managing office systems. This role involves providing administrative assistance to senior staff and Trust Officers to help achieve the Friendly Trust's goals and objectives. The Administrator will also perform various duties as needed.
Key Responsibilities
The Administrator will be required to:
Align with Friendly Trust's Aims and Values: Work within the framework of the Trust's principles and objectives.
Administrative Tasks: Handle necessary administrative duties, including processing invoices, reconciling service user and charity accounts, managing file storage (including fireproof storage), and overseeing the franking machine and general postal duties.
Financial Monitoring: Report any discrepancies or concerns related to petty cash, service user, and charity accounts to the General Manager.
Communication: Answer telephone calls and relay messages.
Data Management: Support the Director, Team Managers, and Trust Officers in maintaining statistical information, including database input.
Building and Equipment Maintenance: Assist the Director with building and equipment upkeep, coordinate repairs, and liaise with the landlord regarding building issues.
Meeting Support: Service meetings by taking minutes for the Trust Officer team and the Board of Trustees.
Environmental Sustainability: Help the organization operate in an environmentally sustainable manner.
Publicity Coordination: Assist in coordinating publicity materials, such as photocopying leaflets and agendas for service user days.
Additional Duties: Perform any other administrative tasks as reasonably required.
