Real Estate Administrator
to join our team.
About the Role
As the Mortgages and Auctions Administrator, you will play a pivotal role in supporting the day-to-day operations of our Mortgages and Auctions Departments. Acting as the first point of contact for many clients, you'll be a key part of ensuring smooth and efficient service delivery across the business.
This is a dynamic and varied role that requires a proactive mindset, excellent attention to detail, and the ability to juggle multiple responsibilities in a fast-paced environment. Whether you're coordinating viewings, preparing property documentation, or handling customer queries, your work will directly contribute to the success of our office and the satisfaction of our clients.
Key Responsibilities
Client Communication:
Serve as the first point of contact for clients, handling inbound calls and emails, with a friendly and professional approach. Respond to enquiries, relay messages, and manage follow-ups as needed.
Property Marketing & Documentation:
Maintain accurate property listings, CRM data, and sales/lettings documentation.
Diary & Appointment Management:
Book and confirm property viewings, valuations, and meetings. Maintain up-to-date diaries for multiple team members, ensuring appointments are scheduled accurately and efficiently.
Database & Record Maintenance:
Keep internal systems and databases accurate and up to date with client information, property details, compliance records, and communication logs.
Skills and Experience
Essential:
Proven administrative experience, ideally within property, estate agency, or another fast-paced, client-facing industry.
Strong organisational skills with the ability to multitask and prioritise workload under pressure.
High attention to detail and commitment to maintaining accurate records.
Excellent verbal and written communication skills.
A positive, professional, and proactive attitude with a willingness to take initiative.
Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
Experience using CRM or property management systems.
Desirable:
Familiarity with the property industry.
Previous customer service experience in a client-focused setting.
Understanding of mortgages and documentation processes.
