An exciting opportunity has arisen in our company for an enthusiastic administrative professional to join our growing Media and Communications Team. The Administrator is responsible for managing all aspects of the author liaison and administrative duties of the team. Supporting the Media and Communications team, the Administrator's duties are guiding and advising our authors over the phone or email and managing queries to problem solve arising challenges. We are looking for someone with a positive can-do attitude to assist the author throughout the marketing journey.

Responsibilities:



The Administrator will be responsible of the following:

As the main contact, provide exceptional customer service and support to authors by answering their questions via email and on the phone in a confident, professional and timely manner.

Adhere to company policies and procedures while always maintaining a high level of confidentiality and awareness of general data protection regulations.

Maintain positive and productive working relationships with clients, colleagues and key stakeholders.

Actively working towards achieving key performance indicators and objectives.

Dealing with incoming and outgoing correspondence.

Data entry, retrieval and database maintenance and management.

Manage complaints in accordance with the company processes in a timely and sensitive manner.

To provide administrative support for meetings as requested, including recording notes.

Assist colleagues whenever necessary.

Facilitating the marketing team to achieve departmental goals with a sound understanding of our company, its services and brand image.

Monitor stocks and reorder promotional materials and new book copies (via Print Hub) when needed for author events.

Maintaining files and keeping folders updated with author imagery, news and events.

Guiding new authors and keeping them updated with all the developments in the marketing process in a realistic manner.

Requirements:



The ideal candidate will exhibit the following qualities:

Proficient in MS Office and CRM systems.

Skilled and approachable communicator, to be able to work in a calm and professional manner.

Up to 4 years' experience in an administrative environment.

Excellent interpersonal and communication skills and ability to nurture positive relationships.

Adaptable and open to learning new skills and change.

Creative and adept at problem-solving.

Highly organised and able to prioritise workload.

Keen eye for detail.

Excellent telephone manner, able to empathise and problem solve when queries arise.

Proficiency in English, including GCSE English language at grade C or above, or equivalent qualification.
