Job Overview
We are looking for an experienced, enthusiastic individual to perform a variety of tasks as part of the administration team for our Organisation in a fast-paced environment. As a member of the team you will be responsible for assigning caseloads and managing diaries for our services throughout the UK. The role can be demanding and calls for the ability to learn, understand and apply a wealth of knowledge about our individual services across the UK.
Responsibilities
Respond to all phone calls and online chats into Health Is One in a polite and helpful manner, making sure that all calls are registered and that the Health Is One data protection protocols are observed.
Use Health Is One systems to receive, manage, register, record and allocate new referrals and caseloads to all parts of the service.
Complete necessary documentation and paperwork required by the range of contracts
Support diary queries across a range of contracts.
Liaise with service users (by telephone and text) to manage appointments.
Print resources and posting when required
Supporting health & safety record-keeping
Collaborate with team leads to compile and submit monthly and quarterly reports.
Liaise with counsellors, other Health Is One staff, students to ensure diaries are up to date.
Prepare information for invoicing and follow the guidance of the Finance Manager
Coordinate schedules that support business activities
Sourcing and coordinating rooms or external venues
Supporting onboarding and inducting new staff
Support improvements to the intake and access process to enhance client experience
Requirements
Minimum of 2 years' experience in an administrative role.
Excellent organizational skills
Experience using MS Office software
Experience creating and maintaining spreadsheets
Excellent communication skills and interpersonal abilities
Be able to focus with high attention to detail
Ability to multi-task in a busy environment
Being able to work as part of a team is essential
Terms & Conditions
Part time opportunity. Hours of work are 3pm - 7pm Monday - Friday.
Salary offered will be pro rata based on an FTE - 24,570.
