About The Role
We are recruiting for an experienced Administrator to join our Short Term Housing team based in Glasgow. Short Term Housing provides a link between private landlords, Glasgow City Council Temporary Allocations team and tenants.
The Administrator will provide efficient and organised support to our Rent Deposit and Temporary Accommodation teams, the post holder will also provide information to the people we support, landlords, community homeless teams and other agencies.
This is a part time role working 21 hours per week Monday to Wednesday.
Main duties and responsibilities will include:
Receive and respond to incoming calls from a variety of stakeholders such as tenants, family members, internal staff team and external agencies.
Provide updates and information for tenants who have on going issues with their property and who may experience anxiety at the thought of moving into Temporary Accommodation.
Receive repair requests from tenants, landlords or neighbours, forward to Tenant Liaison Workers or Property Administration team, or raise on the Homemaster system and liaise with all parties with information on what action is in process until complete.
Collate and provide standard paperwork such as move-in and interview packs for staff.
Keep all systems updated to include all records on Sharepoint, Microsoft Excem and HomeMaster
Accurately input Housing Benefit data into the HomeMaster system.
Liaise with a variety of internal and external stakeholders
Source information and maintain complete property files that include Landlord registration, EICR reports and Gas safety certificates that comply with housing legislation.
Provide each property with a file number and a specialist software number and draft electronic store lease agreements from landlords.

We're looking for someone that has gained experience of working in an administration or support role within a busy office, or service-focused environment. You will be confident in using a range of IT systems to accurately record, manage and share information. You will also have excellent communication skills, both written and verbal and you will be able to liaise effectively with compassion with the people we support, colleagues and partner organisations.

The post holder will report to the Property Administration Supervisor
Your normal working hours are 21 per week, worked Monday to Wednesday between the hours of 9am and 5pm with 1-hour unpaid break.
Your usual place of work will be Rosemount Business Park, Unit E2, 141-145 Charles Street, Glasgow, G21 2QA.
Annual leave entitlement of 210 hours holiday (equivalent to 6 weeks) pro rata per year in the first year rising to 280 hours (equivalent to 8 weeks) pro rata per year in the second. This includes public holidays
You will be automatically enrolled into the People's Pension in the month that you will complete 3 months of employment, provided you meet the auto-enrolment criteria
