Job Description


Job description We are looking for an experienced Mortgage or Financial Services industry Personal Assistant to provide business, secretarial and administrative support in a well-organized and timely manner. You will work on a variety of tasks assisting with the running of a mortgage brokerage. As a brokerage we have 2 clients: Our advisers and our clients wanting to get a mortgage. Responsible\'s:

  • relationship management with directors, clients, advisers, team etc.
  • answering calls and handling queries in the office,
  • manging "leads" and prospects submitted via website with the goal of booking an appointment in an advisers diary
  • collating information and "client files" for checking by an external compliance auditor
  • supporting our self-employed advisers on a daily basis; e.g. commission queries, system challenges, lender onboarding
  • putting together financial information, sending invoices and chasing payments where appropriate / as requested
  • coordinating team meetings, monthly adviser training sessions and relationships with external stake holders
  • maintain an in-depth understanding of the business in order to establish priorities and manage team expectations
  • managing our bespoke mortgage industry CRM database, and coordinating data in excel
  • checking, updating and ensuring our CRM database is up to date and correct
  • helping to manage deadlines/ideas with the marketing team
  • organising tasks and tracking progress via trello project management online tool
  • handling all enquiries realting to telecoms, IT, HR, pension/payroll, and other technology used within the industry
  • be a confidante and handle sensitive information confidentially
  • look at creative ways to support the business and the director
  • The list of duties is not exhaustive, and flexibility is required in terms of what the PA may be required to undertake in order to deliver rounded support to the director.

Skills
  • Mortgage administration and/or operations experience
  • Proven work experience as a personal assistant and in customer service
  • Systems experience/tech-savvy
  • Be a people person
  • Knowledge of office management systems and procedures
  • MS Office and English proficiency
  • Outstanding organisational and time management skills
  • Up-to-date with the latest office gadgets and applications
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • PA diploma or certification would be considered an advantage\'
  • Experience in mortgage / insurance industry is an advantage but not a necessity
Ability to commute/relocate:
  • Ebbsfleet, DA11 8HJ : reliably commute or plan to relocate before starting work (required)
Job Types: Full-time, Part-time Salary: \xc2\xa318,000.00-\xc2\xa325,000.00 per year Benefits:
