Job Description

Would you like to be an admin superhero within an award-winning ecological consultancy? Due to company growth, we are seeking a motivated, well-organised administrator to help support our team.

This role is hybrid and part-time with either 18 or 20 hours a week, the hours could be worked as 4 x 5 hour days or 3 x 6 hour days, with one of the working being a Monday. Days and hours can be discussed.

If you are someone with an eye for detail who enjoys multi-tasking, data input, organisation, providing business support and giving great customer care, this role is ideal for you.

About Us



As a company we provide ecological and arboricultural services across the South of England for various sectors including; commercial, residential, farmland, parkland, MOD, renewable energy, infrastructure, domestic and government. We were founded in 2011 and offer an array of service types including; botanical and protected species surveys, giving advice on planning applications and biodiversity net gain. We have an office in Withyham, East Sussex where this role is based and another in Marlborough, Wiltshire.

About the Role



The successful candidate will join a supportive, friendly team and assist with various areas of operations within the company.

As an Operations Administrator, you would work closely with our Operations, Office and Management Team providing administrative support. At times this is a fast-paced role due to project timelines and we are looking for somebody who enjoys data-input and working to deadlines.

Duties for the role would include;

Process client quote requests and commissions in a timely manner Assist with keeping the company Project Information Management System up to date Assist with the handling and monitoring of the company mailbox and phoneline Assist with the managing of surveyor Outlook Calendars, arranging surveys and processing completed survey logs Assist with the production of Risk Assessments Assist with the processing of company and supplier invoices, team timesheets and mileage sheets Assist with the production of tender documents and promotional materials Assist with the production of quotes Assist with the general upkeep within our East Sussex office Assist with arranging and booking of accommodation, vehicles, training courses, team events and site access Liaising with clients and contractors, uploading client and project information in a timely manner

Requirements



Have previous office-based administration experience Have working experience of processing data within a database system Have an eye for detail and good written and verbal communication skills Have strong IT skills Have working knowledge of Microsoft Office; Office 365, Microsoft Word, Excel, Powerpoint and MSTeams Have the ability to multi-task and be commercially aware Have experience with document formatting Have experience with handling sensitive information Have experience of scheduling / diary management using an electronic diary system Have experience of liaising with clients and team members in a friendly and professional manner Have a positive attitude, willingness to help, and work under pressure Have a minimum of A-Level or equivalent Have ability to work from our office in Withyham, East Sussex and at home, this role is hybrid

Nice to have:



Have experience with accounts software (Quickbooks/SAGE/Xero). Have experience with tender platforms Have experience with writing Risk Assessments Have experience of creating quotes and invoices Have experience of creating marketing packs, case studies and using social media and LinkedIn in a work setting Have an interest in the natural environment; people, places and nature
