About the role:
Due to a recent promotion, we are looking at hiring an Administrator to join our team. As a Administrator within our Inverness branch the main duties will be to provide administration and helpdesk support. This role is central to our communications with Clients, our team and our Subcontractors/ suppliers. The role will be to monitoring the email inbox, raise work tickets, planning reactivates and PPM jobs into operatives dairies, liaising with the management team, taking email and telephone calls from tenants and ensuring jobs are monitored to make sure they aren't overdue.To liaise and communicate effectively with the stakeholders, client contacts and contractors to meet reactive task SLA's, minimise penalty deductions across the relevant contracts.
To administer the helpdesk function operations and all associated email traffic, communicating in a professional and effective manner.
Provide admin and contract support, where required for other team members and managers
Dealing with incoming invoices from subcontractors
Compile meaningful periodic Reports and KPI's information to Managers and Directors.
Day to day operation of the Helpdesk, PPM schedules and Reactive call activities together with ongoing administrative tasks.
To actively chase and drive the outstanding calls, PPM and Reactive within the helpdesk following relevant Contractual processes, to comply with contract task timescales.
Administer and monitor third party and supplier contract periods. Notify reviews when due, obtaining and processing tender information for management review.
To be willing to operate Mears IT systems.
Role Criteria:Previous administrator experience
Strong administrative skills
Commercial awareness
Excellent communication skills
IT literate - Office 365
